Current Need:
GLSCO is seeking a highly organized and detail-oriented individual to support customer communication, order coordination, sales support, invoicing, and day-to-day operations for our growing team. This role is primarily focused on coordinating appliance and HVAC orders, communicating with customers, supporting the sales team, resolving order issues, and helping ensure projects move smoothly from quote through completion. The ideal candidate must be highly organized, customer-focused, proactive, and comfortable managing multiple customer requests, orders, timelines, and administrative responsibilities simultaneously in a fast-paced environment. This position is a supporting role to the entire management and sales team.
Location:
Preferred candidates will live close enough to report to the office located in Howell 48843.
Position Description:
Customer & Order Coordination Coordinate appliance and HVAC orders from quote through completion Communicate directly with customers regarding timelines, scheduling, delivery coordination, and project updates Work closely with the sales team to help keep projects moving efficiently Assist customers with replacement appliances and HVAC systems Coordinate order logistics and scheduling with vendors, subcontractors, and internal departments Help resolve order issues, delays, and customer concerns professionally and efficiently Follow up with customers to ensure satisfaction and successful project completion Sales Support Support the sales team with quotes, order processing, and customer communication Register projects with manufacturers and obtain vendor pricing Assist with project documentation and order management Help estimate project timelines and coordinate scheduling expectations Close transactions and take customer orders Operations & Administrative Support Process invoicing and maintain accurate billing records Maintain organized customer and project documentation Provide operational and administrative support to help keep workflows moving efficiently Assist management and sales staff with administrative coordination as needed Warranty & Service Coordination Coordinate manufacturer warranty claims and service scheduling when needed Communicate with vendors, manufacturers, and subcontractors regarding warranty-related issues Track warranty claims through completion to ensure timely resolution Investigate product and service warranty claims to help ensure reasonable and timely resolution
Minimum Requirements:
2+ years of customer service, office administration, sales support, or coordination experience
Critical Skills:
Must be proficient with Microsoft Office including Outlook, Excel, and Word Proven experience providing excellent customer support Highly detail oriented and organized Strong communication and follow-up skills Ability to multitask and manage multiple customer requests, orders, and projects simultaneously Critical thinking and problem-solving skills Technical aptitude and willingness to learn appliance and HVAC products Ability to professionally resolve customer concerns Must have acceptable driving record and valid driver's license
Additional Knowledge and Skills:
Experience using CRM tools preferred Order management or logistics coordination experience preferred Warranty or service coordination experience preferred B2B field or inside sales experience in distribution a plus HVAC, appliance, construction, logistics, or distribution industry experience preferred
