Full Job Description STATUS:
Full-time (Non-Exempt Position)REPORTS TO
Vice President of Sales and Services SUMMARY Responsible for administrative and clerical support for the sales and services department as outlined below.RESPONSIBILITIES
Provide assistance to sales team with regard to sales leads by creating support letters, follow up with hotels for proposals and subsidy forms, and create bid books. Assist with managing relationship with Digideck and all updates for digital bid books. Work with convention services team when business turns definite - assign CS managers to business, assign traces, prepare CS letter and services folder. Prepare sales reports from Simpleview CRM as requested by Vice President of Sales. Assist sales team with tradeshow registration, preparation, shipping and follow up. Assist with sales receptions, site inspections, preparation for sales missions and follow up. Plan, organize and manage annual Customer Advisory Council events and annual client Familiarization Tours. Trace and collect trip reports after sales directors return from tradeshows, sales missions, etc. Update and maintain accounts in Simpleview Meeting Sales Module. Assist with VB Book Club mailings, etc. Assist with scheduling, preparing for and taking minutes at quarterly Director of Sales meetings. Assist with managing CVENT leads and distributing to sales managers. Input partner in-kind contributions and paid partner services into Simpleview CRM. Maintain VB Sales Team calendar on Team Up. Assist with scheduling departmental meetings. Perform other duties as required.EDUCATION AND EXPERIENCE
Minimum Associates Degree and/or 3-5 years of related experience.SKILLS AND REQUIREMENTS
Oral and written communication skills. Proficient in Microsoft Office Suite. Excellent customer service skills. Time management and organizational skills. Ability to multi-task and meet deadlines. High level of attention to detail. Knowledge of the visitor amenities in the Buffalo Niagara Region. Physical demands of the job include, but are not limited to, sitting, bending and lifting up to 35 pounds. Preferred experience or familiarity with CRM programs. Some local travel is required. Must have a valid driver's license, current automobile insurance and own or have access to an automobile. OTHER Hybrid work schedule - 4 days in office / 1 day remote; hybrid schedule is subject to change in the future. Position could require occasional evening and/or weekend work.
