Job Description

STAIR Galleries seeks a highly organized and client-focused Consignment Coordinator to serve as a central support resource for our specialists and clients. This role is integral to the smooth operation of our auction process, from initial consignment intake through final settlement. As a Consignment Coordinator at STAIR Galleries, you will play a vital part in delivering exceptional service to our clients while supporting the success of our dynamic auction calendar. Key Responsibilities Support specialists with business development initiatives, including generating illustrated property lists, assisting with proposals, and coordinating client visits. Upload, organize, and manage visit photographs. Prepare, manage, and maintain consignment contracts and client files. Verify that all client information and contractual terms are accurate and complete, and that documents are signed ahead of sale. Act as the main point of contact for clients across the entire consignment process, delivering a consistently outstanding experience. Communicate pre-sale, post-sale, and settlement information with clients. Support the administrative team in all auction day preparation, including answering client questions and registering clients for paddles and telephone bids. Participate in each of our 30+ auctions a year by assisting with live telephone bidding and operating online platform consoles. Monitor and manage incoming requests through the submission inbox and proprietary auction management system. Provide general office support including filing, phones, and copying. Contribute to special projects as needed, including assisting with ad hoc administrative needs for affiliated business entities. Qualifications Exceptional organizational skills with meticulous attention to detail. High School diploma plus 2 years related experience. Outstanding written, verbal, and interpersonal communication abilities. Proven ability to manage competing priorities and pivot quickly in a fast-paced environment. Strong team player who takes direction well, with sound judgment, diplomacy, and a collaborative spirit. Polished, professional demeanor with a commitment to discretion and confidentiality. Proficiency in Microsoft Office Suite. An interest in the decorative arts, antiques, or auction industry is a major plus. Why Join Us?
