Job Description

About the Role United Public Adjusters is growing quickly, and we're looking for a highly organized and proactive Inside Sales Support Coordinator to help support our client intake and sales operations. In this role, you'll serve as the central point of coordination between inbound prospects, marketing efforts, and our sales team. Your primary focus will be ensuring timely follow-up, accurate lead management, appointment coordination, and a smooth client experience from initial inquiry through consultation scheduling. This position is ideal for someone who thrives in a fast-paced environment, communicates professionally, and enjoys supporting a team through strong organization and follow-through. Experience in home services, restoration, roofing, insurance, or other high-volume inbound environments is strongly preferred. You'll play an important role in helping ensure no opportunity is missed while supporting the overall efficiency and responsiveness of our intake process. What You'll Do Lead Intake & Client Communication Serve as the first point of contact for inbound inquiries Respond promptly to prospective clients via phone, text, and email Gather and document key information regarding property damage and client needs Ensure inquiries are routed appropriately and efficiently Follow-Up & Pipeline Support Conduct structured follow-up with inbound leads and existing prospects Re-engage inactive or pending inquiries Help maintain consistent communication throughout the intake process Support the sales team by ensuring leads remain organized and active CRM Management (HubSpot) Enter and maintain lead records within HubSpot CRM Track communications, appointment status, and next steps Maintain accurate and organized pipeline data Assist with workflow management and automation processes Appointment Coordination & Administrative Support Schedule consultations for field representatives and adjusters Coordinate calendars, confirmations, and appointment reminders Help ensure high appointment attendance rates Provide internal notes and background information to support successful consultations Team & Process Support Work closely with sales, marketing, and leadership teams Help improve intake workflows and communication processes Assist with reporting and tracking operational KPIs Support a positive and professional client experience throughout the intake process What You Bring 1-3+ years of customer service, inside support, appointment setting, intake coordination, or administrative experience Experience in home improvement, restoration, roofing, insurance, HVAC, or related industries preferred Familiarity with HubSpot or other CRM systems Strong verbal and written communication skills Excellent organization and attention to detail Ability to multitask and prioritize in a fast-paced environment Professional, dependable, and process-oriented mindset Why Join United Public Adjusters Be part of a fast-growing and team-oriented company Work directly with leadership and operations teams Play an important role in supporting client experience and company growth Opportunity for long-term career growth within operations, client services, or account coordination Collaborative and supportive work environment Benefits Health Insurance 401(k) + company matching Paid time off Paid training Professional development support Company perks including free breakfast and lunch
