Full-Time Position Summary:
Tulsa Ice Centers is seeking an outgoing, organized, and action-oriented Sales and Event Coordinator to lead the planning and execution of public and private events at our facility. This role is a perfect fit for someone who excels at logistics and thrives in a fast-paced, people-focused environment. In addition to coordinating and managing events on-site, the Sales and Event Coordinator will play a role in outbound calls for various events and driving sales. This position is heavily operations and guest service driven, with a strong focus on building relationships and filling the calendar with successful events.
Key Responsibilities:
Sales & Revenue Growth:
Actively promote and sell ice rink offerings including but not limited to: corporate events, group sales, memberships, lessons, birthday parties and celebrations. Develop and maintain relationships with businesses, schools, youth organizations, and community groups to generate leads and bookings. Meet or exceed individual and team sales goals.
Client Relations & Event Coordination:
Serve as the main point of contact for all sales inquiries and bookings. Coordinate and host events including but not limited to: private events, corporate outings, group events, and field trips public skating theme nights, watch parties, community days, and specialty rink programs. Serve as on-site event lead, overseeing setup, team communication, guest service, and tear-down Coordinate across internal teams and external vendors to ensure smooth delivery Greet and assist guests, manage check-ins, and create a high-energy atmosphere during events Host in-rink activations and pop-up stations, engaging with attendees in a fun, enthusiastic, and professional manner. Assist in preparing signage, printed materials, event kits, and giveaways Ensure all events meet facility safety, cleanliness, and guest satisfaction standards Assist in developing new event concepts and experiences through post-event feedback, reports, brainstorming Assist with marketing initiatives in respect to the position, seasonal promotions, off-site booths, and community outreach programs to increase visibility and sales opportunities. Represent the rink at community events, expos, and networking activities. Collaborate with marketing to create promotional materials and group incentives.
Administrative Duties:
Maintain accurate records of sales activity, client communication, and event details upon booking. Track performance metrics and prepare weekly and monthly sales reports. Collaborate with management to ensure all pricing, availability, and promotional information is up to date.
Skills & Qualifications:
Experience in sales, event coordination, hospitality, recreation, or guest services (or educational equivalent) Strong communication and interpersonal skills — both written and verbal customer-first mindset with natural relationship-building abilities Excellent organization and time management skills Self-starter with the ability to manage multiple moving parts at once Comfortable leading a team and directing staff or volunteers on event days Ability to stay calm, organized, and solutions-focused in fast-paced environments Team player with a self-starter attitude and creative mindset Willingness to work evenings, weekends, and holidays as needed for events Additional Qualifications(Preferred but not Required): Comfortable speaking on a microphone and engaging crowds Experience in event sales or venue bookings
