Job Description

The Sales Coordinator will support the Director of Sales/Sales Manager and is responsible for planning, organizing, and managing the administrative tasks in the Sales Office, while creating an exceptional experience and outstanding service for our guests/clients.
Responsibilities:
Support the Sales team with daily administrative functions and client communications. Answer the phone and distribute sales leads to the Director of Sales or Sales Manager. Prompt handling of inquiry calls and monitoring the efficient flow of paperwork related to confirming function details to the client. Coordinate group room blocks, catering events, meetings, and banquet details. Prepare contracts, banquet event orders (BEO's), proposals, resumes, and reports. Maintain accurate information in sales and catering systems. Assist with reservations/rooming lists for groups and meetings. Communicate event and group details effectively with hotel departments including Front Office, Housekeeping, Food & Beverage, and Operations. Monitor and manage group cut-off dates, rooming lists, deposits, and billing details. Assist with responding to sales inquiries, leads, and RFP's in a timely manner. Assist with site tours and client visits as needed. Work closely with the Sales team to ensure client satisfaction. Attend site visits, banquet event order, and pre-conference meetings. Perform other duties as assigned by management.
Skills & Qualifications:
Strong written and verbal communication skills. Strong organizational and time management skills with the ability to multi-task and meet deadlines. Strong knowledge of Microsoft Office including Excel, Word, and Outlook. Ability to work during normal business hours with occasional flexibility for evenings or weekends based on hotel business demands. High School diploma or equivalent preferred. Previous hotel and/or hospitality sales experience preferred.
