Job Description

Keystone Rail Recovery is a family owned and operated business and we consider everyone that works under our banner as family. We have been in business since 2015 and have over 25 years of experience in the railroad business. Over the years we have continued to grow and add to our outstanding staff. We pride ourselves for the strides we have made year in and year out with our customers.
Position Summary:
The Inside Sales Coordinator plays a key role in supporting daily sales and purchasing operations by tracking incoming and outgoing materials, coordinating orders, maintaining accurate records, and communicating with both customers and internal teams. This position is ideal for someone who thrives in a fast-paced environment, enjoys organization and problem-solving and takes pride in accuracy and efficiency.
Key Responsibilities:
  • Receive and process purchased scrap materials
  • Create and manage sales orders
  • Track purchased and sold materials using Microsoft Excel
  • Communicate order statuses with yard operations and outside sales representatives
  • Maintain and update the master shipment log for all incoming and outgoing materials
  • Complete IFTA reporting
  • Manage Samsara reporting and tracking
  • Log and organize invoices accurately
  • Support daily office operations and administrative functions as needed
Required Qualifications:
  • Prior inside sales experience
  • Previous office experience in a professional environment
  • Strong organizational and time-management skills
  • Ability to prioritize tasks and meet deadlines in a fast-paced setting
  • Excellent data entry skills with strong attention to detail and accuracy
  • Proficiency in Microsoft Office, especially Word and Excel
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively within a team environment
Preferred:
  • Experience working with railroad materials or within the railroad industry
  • Experience using Sage or similar accounting software
