Operations & Business Development Executive Assistant This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Operations & Business Development Executive Assistant in Brazil. This role is a high-impact support position designed to bring structure, clarity, and efficiency to a fast-moving executive environment. You will act as a central operational hub for the CEO, transforming high-volume communication streams, complex scheduling, and multiple business development workflows into a streamlined and actionable system. The position requires strong judgment, exceptional organization, and the ability to proactively anticipate needs in a dynamic remote setting. Beyond traditional executive support, you will help optimize processes, maintain CRM pipelines, and implement tools that enhance productivity across the business. This is a highly trusted role where your ability to create order from complexity will directly influence business performance, client relationships, and growth initiatives. Accountabilities You will be responsible for supporting executive operations, business development coordination, and workflow optimization, ensuring seamless communication, structured processes, and effective execution across priorities. This includes managing inboxes, calendars, CRM systems, and operational tasks while proactively improving efficiency. Manage and prioritize a high-volume executive inbox, categorizing and triaging communications for action, follow-up, or delegation Monitor communication channels (email and chat), providing structured daily summaries of key items requiring attention Maintain and optimize executive calendars, ensuring strategic time blocking and efficient scheduling Support business development activities by managing CRM pipelines, tracking leads, and coordinating follow-ups Assist with meeting coordination, notes synthesis, and action item tracking across internal and external discussions Develop and maintain operational systems and SOPs using structured tools such as Notion Implement task tracking and delegation workflows to ensure accountability and visibility across priorities Support administrative needs such as invoicing, office coordination, and relationship-building activities Requirements You should bring strong experience in executive support or operations roles, combined with excellent organizational skills, proactive communication, and the ability to manage multiple systems and priorities simultaneously in a remote environment. 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role supporting senior leadership Strong experience managing email, calendar, and communication workflows in high-volume environments Proficiency with productivity and collaboration tools (Notion strongly preferred) Experience with CRM systems such as HubSpot or similar platforms Strong written communication skills with high attention to tone and clarity Highly proactive mindset with the ability to anticipate needs and act independently Strong systems thinking and ability to build structured workflows and processes Excellent organizational and time management skills across multiple priorities Comfortable making judgment calls and managing sensitive information with discretion Strong business acumen, especially related to pipelines and business development workflows Tech-savvy and adaptable, with ability to learn new tools quickly Reliable home office setup with stable high-speed internet connection Benefits Fully remote position with global flexibility Competitive monthly compensation (USD 800-1,600 depending on experience) Opportunity to work closely with senior leadership in a high-growth environment Exposure to business development and operational strategy processes Learning and professional development opportunities Performance-based bonuses Paid time off (PTO) Health coverage (HMO) after 3 months Collaborative and supportive remote team culture How Jobgether works: We use an AI-powered matching process to ensure your application is reviewed quickly, objectively, and fairly against the role's core requirements.
