Job Description
Job Overview EBTRON, a market leader in the rapidly growing technology sector of building automation, is looking for a dependable, self-motivated Sales Operations Coordinator to join our team. This is a multi-faceted role at the center of our inside sales operation, touching nearly every part of how orders move from quote to delivery. On any given day you might be entering orders, navigating OEM customer portals, pulling reports for leadership, troubleshooting a shipment discrepancy, and helping coordinate a rep event, often all before lunch. The ideal candidate is someone who thrives on variety, stays organized when priorities shift, and takes pride in being the person who keeps everything running behind the scenes. You will work across multiple software systems and collaborate with inside sales, operations, and external partners to ensure orders are processed accurately and operations run smoothly. This position does not carry supervisory authority or direct reports, but it is highly visible and central to the success of the team.
What you might be doing:
This role wears many hats. Responsibilities span order management, systems navigation, reporting, and team support, including: Order entry and management Perform accurate and timely order entry, verifying specifications, pricing, model configurations, and order details before processing. Track open orders from entry through fulfillment, proactively following up to ensure timely processing and delivery. Resolve order discrepancies by comparing entered orders to confirmations and acknowledgments, and work with internal teams and partners to correct errors quickly. Maintain clean, organized order records and documentation across all systems. Systems and portal navigation Navigate OEM customer portals (Oracle based) to process orders, retrieve purchase orders and documentation, and keep account information current. Operate our proprietary Excel based ERP system for order administration, data entry, and recordkeeping, becoming a go-to resource for how the system works. Move fluidly between multiple platforms, reconciling data between systems and flagging inconsistencies. Reporting and analysis Generate, run, and distribute reports using Crystal Reports to support sales and operations decision-making. Compile recurring reports on order status, sales activity, and operational metrics, and respond to ad hoc reporting requests from leadership. Help surface trends and exceptions in the data so the team can act on them. Rep event and team support Coordinate logistics and provide support for rep events, including scheduling, materials preparation, registration, and follow-up. Provide day-to-day administrative and operational support to the inside sales team, jumping in wherever an extra set of hands keeps things moving. Serve as a reliable point of contact for internal stakeholders and external partners on order and operational questions.
What we need from you:
Great organizational skills and a genuine ability to juggle multiple responsibilities at once. Excellent communication skills, both written and verbal. Great time management and the ability to reprioritize as the day changes. Ability to work under pressure and stay composed when several things need attention at once. Ability to work amongst a team and support others without needing the spotlight. Proficiency in Microsoft Excel, including comfort working within Excel based business systems. Experience with ERP systems and customer portals (Oracle based experience a plus). Familiarity with Crystal Reports or comparable reporting tools preferred. A keen eye for detail, a process oriented mindset, and a willingness to learn new systems quickly. Comfort owning a wide variety of tasks without direct supervision. Why you want to work at
