Job Description:
The Business Development Analyst and Proposal Coordinator provides critical operational, administrative, and technical support across all proposal and Request for Information (RFI) efforts. This role ensures that all submissions are highly organized, fully compliant with solicitation instructions, visually professional, and delivered on time. This is a dual-focus role requiring a sharp eye for administrative detail and a creative touch for desktop publishing. The ideal candidate will manage proposal schedules, track multi-disciplinary deliverables, enforce compliance, oversee final document production, and support broader marketing initiatives. Key Responsibilities:
1. Proposal Coordination & Schedule Management Track Deliverables:
Develop and maintain detailed proposal schedules, tracking matrices, and action-item lists to ensure all internal and external contributors meet interim deadlines. Team Collaboration:
Coordinate daily or weekly stand-up meetings with internal subject matter experts (SMEs), leadership, and external teaming partners. Content Management:
Maintain the proposal workspace (e.g., SharePoint, Teams, or proposal software), ensuring version control and organized archiving of all drafts and final assets. 2. Compliance & Quality Assurance Compliance Matrix Development:
Analyze Solicitations, RFPs, RFQs, and RFIs to create comprehensive compliance matrices and skeletons. Administrative Volumes:
Lead the preparation of administrative and business volumes, ensuring all non-technical requirements are meticulously addressed. Reps & Certs:
Manage, update, and review corporate Representations and Certifications (Reps & Certs), SAM.gov profiles, and other mandatory legal/administrative compliance documentation. 3. Document Production, Formatting, & Graphics Desktop Publishing (DTP): Own the visual layout of the proposal. Standardize fonts, margins, headers/footers, and styles to ensure a clean, professional, and consistent look. Graphic Design Support:
Develop, clean up, and integrate proposal graphics, charts, matrices, and flowcharts that transform complex technical text into scannable visual data. Final Production:
Oversee final production activities, including printing, binding, electronic packaging, and submission via client portals, ensuring zero technical or formatting glitches at delivery. 4. Marketing & Content Library Maintenance Collateral Generation:
Support the development and formatting of corporate marketing materials, capabilities statements, and slide decks. Boilerplate Management:
Maintain and curate the proposal content library, updating past performance citations, resumes, and standard company boilerplate text for future use. Qualifications & Skills:
Required Experience Education:
Bachelor's degree in English, Communications, Marketing, Business, or a related field (or equivalent professional experience). Experience:
2 to 5 years of experience in proposal coordination, desktop publishing, or document production (experience in Government Contracting / GovCon is highly preferred). Technical Skills Advanced MS Word Skills:
Expert-level capability with styles, templates, automated tables of contents, and large document management. Adobe Creative Suite:
Proficiency in Acrobat Pro is required; experience with InDesign, Illustrator, or Photoshop is a major plus. Collaboration Tools:
Strong proficiency with MS SharePoint, Teams, and standard proposal collaboration environments. Core Competencies Hyper-Organized:
