Position Overview We are seeking a highly organized, detail-oriented Sales & Office Coordinator to become a key member of our team. This position serves as the primary point of contact for customers and plays a critical role in keeping our office and production operations running smoothly. The successful candidate will eventually take ownership of a large portion of our customer relationships - making professionalism, accuracy, and strong communication skills essential. Detailed training is available; however, candidates should already possess strong general office and computer skills and demonstrate the ability to learn new systems quickly. Key Responsibilities Answer incoming customer calls and emails professionally and promptly Gather project information and accurately enter customer orders Prepare estimates, invoices, and customer documentation using QuickBooks Learn and understand Maxco Metals products, services, and pricing Maintain customer records, pricing information, and order history Communicate effectively with customers, vendors, and coworkers Assist with administrative projects and additional tasks as needed What Success Looks Like The right candidate is someone who: Produces accurate work with minimal errors Communicates professionally in emails, phone conversations, and written documents Learns new processes quickly and retains information Takes ownership of responsibilities without needing constant direction Identifies productive work during slower periods Builds trust with customers through responsiveness and attention to detail
Qualifications Required:
Minimum 2 years of customer service, sales knowledge, office administration, order processing, or similar experience Strong computer skills, including Microsoft Outlook, Word, and Excel Experience with data entry and maintaining accurate records Strong written and verbal communication skills Excellent attention to detail and organizational skills Ability to manage multiple priorities in a fast paced environment Preferred but not required: Experience in manufacturing, fabrication, construction, or related industries Bilingual (English/Spanish)
