ABOUT THE ROLE
The Hilton Garden Inn Virginia Beach Oceanfront is seeking an organized, personable, and detail-oriented Sales & Catering Coordinator to support our Sales and Events team on a part-time basis. In this role, you'll serve as a key point of contact for clients and internal teams — helping keep leads moving, events on track, and clients feeling well cared for from first inquiry through final execution. This is an excellent opportunity for someone who thrives in a fast-paced hospitality environment and wants to grow their knowledge of hotel sales and event operations alongside a collaborative, guest-focused team.
JOB DESCRIPTION
Answer incoming sales and catering calls promptly and professionally, capturing lead information and routing inquiries to the appropriate team members Follow up on incoming leads in a timely manner and distribute them to the appropriate Sales Manager or Event Manager Schedule and confirm property tours for prospective clients, coordinating logistics with relevant departments as needed Assist Event Managers in the preparation, distribution, revision, and filing of Banquet Event Orders (BEOs) Support client communication throughout the sales and planning process, including confirmations, reminders, change requests, and follow-ups Maintain accurate and up-to-date records of leads, inquiries, and client activity within the sales system Assist with the preparation of event proposals, contracts, and client correspondence under the direction of Event Managers Coordinate communication between Sales, Catering, Food & Beverage, and Front Office to support seamless event delivery Perform general administrative support for the Sales & Catering department as assigned

QUALIFICATIONS
Prior experience in a hotel, hospitality, or event coordination setting preferred Strong verbal and written communication skills with a polished, professional phone presence required. Highly organized with the ability to manage multiple priorities, meet deadlines, and follow through on details without close supervision Proficiency in Microsoft Office Suite (Outlook, Word, Excel); experience with Delphi/PEP or a comparable hotel sales CRM is a plus — training provided for the right candidate Ability to work both independently and as part of a team in a service-oriented environment Positive, solutions-oriented attitude and genuine commitment to delivering exceptional guest and client experiences Flexible availability to support business needs, including occasional evenings or weekends as required by event volume High school diploma or equivalent required; coursework in hospitality management, business, or communications is a plus
