About BCC Restoration BCC Restoration is a leading restoration and reconstruction company specializing in insurance-related property repairs. We help homeowners and businesses recover from water, fire, storm, and other property damage by delivering exceptional service, communication, and project management throughout the restoration process. We are seeking a highly organized, customer-focused Sales Coordinator to manage reconstruction opportunities from lead intake through estimator assignment. This role is critical to ensuring a smooth customer experience, accurate project documentation, and consistent communication between clients and internal teams. Position Summary The Sales Coordinator is responsible for managing inbound reconstruction leads, qualifying opportunities, communicating with customers, securing signed preconstruction agreements, coordinating project setup, and facilitating a seamless handoff to the Estimating team. This position serves as the primary point of contact during the early stages of the reconstruction process and works closely with estimating, claims, accounting, and operations teams to ensure every project is properly documented and positioned for success. Key Responsibilities Lead Management & Qualification Review and manage inbound reconstruction leads received through Dash. Maintain and update lead tracking spreadsheets and CRM systems. Evaluate mitigation project status and determine reconstruction opportunities. Assess project location, service area eligibility, and company capacity. Maintain organized records and ensure all lead information is accurate and current. Customer Communication & Sales Support Contact homeowners regarding reconstruction services. Educate customers on the repair process and company services. Conduct follow-up communications via phone and email. Build trust and rapport with customers while guiding them through next steps. Secure signed preconstruction agreements before project advancement. Contract Administration Prepare and send preconstruction agreements through DocuSign. Track contract status and ensure timely completion. Manage customer follow-up regarding contract questions and approvals. Maintain contract records and documentation. Project Setup & Coordination Create and update project information within Dash. Coordinate assignment of estimators and internal team members. Ensure all required project participants are assigned correctly. Initiate project setup procedures and workflow tracking. Documentation & File Management Verify project files contain required documents, photos, estimates, and claim information. Coordinate uploading of contracts and supporting documentation. Maintain organized digital project files. Create internal notes and communicate project status updates. Estimating Support Update and maintain the Estimator Project Tracking Template. Monitor project milestones and progress. Coordinate Matterport scans and sketch orders. Ensure estimators receive complete project information. Facilitate handoff of completed files to the estimating team. Referral Program Management Review projects designated for referral. Coordinate referrals with approved vendor partners. Provide referral packages including project information and documentation. Track referral fees and coordinate payment collection. Maintain referral partner relationships and records. Qualifications Required 2+ years of administrative, sales support, customer service, or project coordination experience. Strong communication and relationship-building skills. Excellent organizational and time management abilities. Ability to manage multiple projects and deadlines simultaneously. Proficiency with Microsoft Office Suite and Google Workspace. Strong attention to detail and documentation accuracy. Professional phone and email communication skills. Preferred Experience in restoration, construction, insurance, or property services industries. Familiarity with CRM systems, project management software, or Dash. Experience with DocuSign and digital document management. Knowledge of insurance restoration processes.
