The Sales Administration Manager is responsible for the day-to-day leadership and oversight of the Sales Support team, ensuring accurate, timely, and compliant execution of sales administration processes including sales warranty coordination , invoicing , programs/incentives documentation , and SMM/title processing . This role partners closely with Sales, Rental, Accounting, and other support teams to maintain smooth deal flow, minimize rework, and support an excellent customer experience—aligned with operating standards and manufacturer requirements.

36 Annually Pay rate is dependent upon education & experience. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions. Team Leadership & Workflow Management Directly supervises assigned Sales Support team members (including Sales Warranty Coordinators, Invoice Coordinator, Programs/Invoice Coordinator, and SMM/Title Coordinator ). Assigns workload, sets daily/weekly priorities, and ensures coverage through cross-training and documented procedures. Coaches and develops employees; supports performance feedback and timely review completion (consistent with supervisor expectations in your internal supervisor job description format). Sales Programs & Invoicing Oversight Ensures accurate processing of sales-related documentation supporting invoicing and deal closeout. Responsible for accurately calculating, validating and processing commissions for sales team. Oversees work tied to Caterpillar reporting/programs used in Sales Support, including items such as gross-profit worksheets , reporting new sales to Caterpillar through the CSS Reporting System , and filing eligible CAT programs per transaction Warranty Coordination Oversight (Sales-side) Oversees and supports warranty-related administrative work tied to sales transactions and internal coordination. Ensures documentation quality, timely submission/follow-up, and resolution of exceptions to prevent delays and SMM/Title Coordination Oversight Oversees title/SMM administrative workflows to ensure files are complete, accurate, and processed within required timelines. Establishes controls and checklists to reduce exceptions and ensure audit-ready documentation. Process Improvement, Controls & Service Standards Works closely with office staff and cross-functional partners to improve and maintain processes and procedures. Implements quality checks to reduce downstream corrections, chargebacks, and "last-minute" deal issues. Tracks work queues/aging, identifies bottlenecks, escalates risks early, and recommends improvements. Cross-Functional Partnership & Customer Experience Serves as the escalation point for sales support issues impacting customers or internal stakeholders. Promotes "no surprises" execution by ensuring documentation and handoffs support correct and timely invoicing/processing. Supervisory Responsibilities Directly supervises Sales Support administrative staff assigned to this function. Provides leadership, coaching, training coordination, and accountability for output quality and timeliness.
Tracks and reports metrics including:
Invoice cycle time (deal closed invoice complete) Warranty item turnaround time (submitted resolved) Exception/rework rate (documents returned for correction) Queue aging (items > X days) "First-pass accuracy" rate for deal packets Cross-training coverage (each function has a backup) Competencies / Skills Strong organizational and prioritization skills; ability to manage multiple deadlines and detailed documentation requirements. Strong communication and relationship skills with Sales, Rental, Accounting, and Operations partners. Attention to detail and quality mindset to reduce rework and exceptions. Comfort with systems, documentation tracking, and process adherence. Required Education and Experience High School Diploma or GED required; bachelor's degree preferred 3+ years of experience in sales administration, invoicing, warranty administration, title/SMM processing, or related dealership back-office operations. 1+ years of supervisory/lead experience preferred Intermediate Microsoft Office skills (Excel, Word, Outlook) and ability to learn/operate dealership and manufacturer systems.
Preferred:
Experience in a Caterpillar or heavy equipment dealership environment Familiarity with Caterpillar systems (e.g., DBS, Texada, warranty platforms)
