Position Summary The Service Warranty Administrator is responsible for preparing, submitting, and tracking manufacturers and extended warranty claims. This role requires strong diligence, organizational skills, and knowledge of dealership and factory policies. The Warranty Administrator ensures warranty submissions are accurate, properly documented, and processed within deadlines to maximize factory reimbursement and maintain customer satisfaction. Essential Duties & Re s ponsibilities Prepare, review, and submit warranty claims according to manufacturer and dealership guidelines. Verify repair orders for accuracy, completeness, and compliance with manufacturer requirements. Track claim status and follow up on unpaid or denied claims, making corrections, as necessary. Maintain detailed records of all warranty submissions, credits, and chargebacks. Ensure warranty parts are properly tagged, retained, and returned to the manufacturer when required. Work closely with service advisors, technicians, and parts staff to obtain necessary documentation. Communicate with manufacturer representatives to resolve claim discrepancies or disputes. Train and support service staff in proper documentation for warranty compliance. Generate warranty-related reports for management as needed. Stay current with manufacturer policies, bulletins, and warranty updates. Marginal Duties Assist service management with administrative tasks as needed. Support customer inquiries regarding warranty coverage and policies. Participate in dealership and manufacturer training programs. Assist with special projects assigned by management. Certification s , Licenses & Registrations Valid driver's license meeting dealership insurability requirements. Manufacturer or ASE Warranty Certification (preferred, not required). Knowledge of dealership DMS systems (Reynolds & Reynolds, CDK, etc.) preferred. Physical Demands Ability to sit for extended periods while working on a computer. Lift up to twenty pounds occasionally (parts or files). Enter and exit vehicles as needed for claim verification. Competency Diligen ce : Ensures accuracy and compliance in claim submissions.
