Job Description

Douglass & Runger, PLLC is hiring an Intake & Sales Specialist to serve as one of the first points of contact for potential new clients seeking professional guidance on family law, probate law and estate planning matters. Potential clients who contact our Firm are overwhelmed, confused, emotional, and fearful and desperately want a better future, so we need an Intake & Sales Specialist who can be warm and compassionate while staying focused, following the Firm's process and keeping the conversation productive. This isn't a passive receptionist role, nor is it an improvisational role. It's a fast-paced, phone-heavy, client-facing intake and sales position. The right candidate must be able to build rapport, use technology, consistently follow a proven process, and book qualified potential new clients for paid, in-person consultations. We provide hands-on training, coaching, feedback, and support, but training only works when someone learns quickly, follows directions, applies feedback, and improves. Prior law firm experience is not required. Success in hospitality, restaurants, retail, customer service, sales, medical offices, or other fast-paced environments can translate well here. If you communicate well, stay organized, learn quickly, handle pressure, and want to start a new career with a growing law firm, this may be a strong fit. What You Will Do Field incoming potential new client inbound calls and make outbound calls with professionalism, patience, and energy. Follow the Firm's intake process consistently and gather accurate information. Schedule qualified potential clients for paid in-person consultations. Enter accurate notes and information into our systems. Use technology throughout the day, including Clio, Clio Grow, Excel, email, calendars, texting platforms, and phone systems. Follow-up with potential clients who have not yet scheduled or retained the firm. Communicate clearly with attorneys, sales team members, and other staff. Accept training, coaching, feedback, and correction. You may be a good fit if you: Enjoy talking to people on the phone for much of the day. Can be warm and empathetic while keeping the call focused. Understand that process matters. Can follow scripts, checklists, directions, and systems. Are comfortable asking people to take the next step. Learn new software and systems quickly. Stay calm and focused in pressure situations. Move quickly without becoming careless. Accept coaching and constructive criticism. Show up reliably. This position is not a good fit if you: Do not like being on the phone. Struggle to follow directions. Prefer to "wing it." Get frustrated easily with technology. Are uncomfortable asking someone to schedule a paid consultation. Have trouble staying focused during calls. Make simple things harder than they need to be. Resist coaching, training, or constructive criticism. Take feedback personally instead of using it to improve. Have frequent conflicts that interfere with showing up to work consistently.
