Caltrans carries out its mission of providing a safe, sustainable, integrated and efficient transportation system to enhance California's economy and livability, with six primary programs: Aeronautics, Highway Transportation, Mass Transportation, Transportation Planning, Administration and the Equipment Service Center. The California Department of Transportation (Caltrans) is seeking to hire two (2) student assistants, in a learning capacity, under the close supervision of Supervisor I. In a learning capacity, the student assistant will assist with technical and administrative duties, and assignments providing services supporting District 10 in the efficient operation of good record keeping practices. This includes the creation, utilization, preparation, storage, retrieval, disposition, preservation, and retention of state records are in place and followed. The student assistant will also assist in providing technical support to the district's Reprographic and Mail Room Services. Additionally, the student assistant will assist with various professional-level duties and tasks with various divisions and assist with the districts return to office cleanup efforts. Conditions of Employment This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause. 62 per hour. Minimum Qualifications Must maintain a minimum cumulative 2.0 GPA. Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term. Preferred Qualifications Under the amendment to Government Code Section 18220, state agencies shall give preference to a qualified applicant (up to 26 years of age) who is, or has been, a dependent child in foster care, a homeless youth, a formerly incarcerated youth, or a victim of human trafficking. Duties and Responsibilities In a learning capacity, the student assistant will assist with records organization and filing, including viewing physical and digital documents, categorizing materials according to established retention guidelines, and maintaining orderly file systems in compliance with the Division Record Retention Schedules (RSS). In a learning capacity, the student assistant will assist in record-retention activities, including identifying documents eligible for retention, transfer, or destruction under the established departmental and division RSS policies, and preparing materials for archival or disposal in coordination with supervising staff. Also, the student assistant will assist in document scanning and digitization, including preparing physical files for scanning, operation scanning equipment, ensuring image quality, naming and saving of files appropriately, and uploading digitized documents into the designated sources. In a learning capacity, the student assistant will assist in reprographic and mailroom tasks including performing bindery work, copier operation, filing, moving office supplies, and providing general office support to ensure smooth workflow within the Creative Services Unit. In a learning capacity, the student assistant will assist in general administrative support tasks related to district cleanup efforts and performing other duties as assigned to facilitate smooth transition back to the office. Physical Requirements Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers and scanners with or without a reasonable accommodation.
