Basic Statement of Responsibilities Provides support for the ACM Foundation Scholarship Program by assisting with scholarship processing and day-to-day program operations. Responsibilities include entering, updating, and maintaining records in the scholarship management system to support accurate tracking, compliance, and reporting, as well as supporting Foundation activities and maintenance of donor records. This position supports the integrity and organization of scholarship and donor data while contributing to the overall effectiveness of the Foundation's scholarship and advancement efforts.
Essential Functions Scholarship Administrative Support:
Reviews students' scholarship applications, determines eligibility in accordance with donor-established criteria, and produces award letters to students. Coordinates scholarship reviews by committees. Tracks scholarship acceptances and maintains student files. Enters and manages all scholarship awards in Colleague, the student information system. Reviews eligibility reports, per semester, to ensure recipients continue to meet the scholarship criteria. Completes necessary paperwork for students and donors to ensure scholarship eligibility. Works with the ACM Business Office and Financial Aid Office staff to ensure the effective awarding/processing for scholarship eligibility and award verification. Coordinates mailing of new criteria sheets to all scholarship donors, maintains current criteria sheets, and ensures updated criteria are reflected in online scholarship management system and in scholarship catalog. Ensures scholarships are available and fully disbursed by donors' intent to ensure further stewardship. Works directly with students applying for scholarships. Manages correspondence and follow-up, including student thank-you notes for recipients. Prepares expenditure reports of all scholarship funds awarded to students. Maintains accurate and complete scholarship donor records; captures contact and biographical information.Foundation and Administrative Support:
Serves as a liaison to the ACM Foundation Board of Directors to ensure the timely distribution of materials for Board and Executive Committee meetings. Attends Foundation Board and Committee meetings and events. Organizes, maintains, tracks, and safeguards all files related to the Foundation Board governance, including, but not limited to Board and Executive Committee meeting minutes, resolutions, agenda, historical board information, and approved policies, in accordance with bylaws, procedures and record retention policies. Ensures these materials are available internally and externally as appropriate. Works with prospective donors to provide materials and documentation. Assists in the planning and coordination of donor appreciation events. Coordinates annual thank you letter to donors. Greets visitors to the Advancement office, answers phone calls to the general Foundation number, and monitors Foundation email account. Prepares documentation and reports for the Foundation's annual audit. Processes scholarship checks and donor checks and keeps records for the Foundation and Scholarship Coordinator to deposit. Responsible for ACM Retiree Association deposit processing, maintaining membership data, and sending various correspondence. Responsible for Foundation donor, scholarship funds, and outside groups filing system. Prepares mailing lists for Advancement events and publications and assists with other administrative duties in support of the Public Relations and Marketing department. Other duties as assigned; including those assigned by the Foundation and Scholarship Coordinator, the Chief Advancement and Community Relations Officer, and the Executive Director of the ACM Foundation. Education, Experience, and Specialized Skills Associate's degree required; with a minimum of 1 year of experience working in accounting, business, or a related position. Experience using tools and platforms (Microsoft Applications, Zoom, etc.) and organizational, time management, and communication skills are required. Ability to learn and use effectively Student Information Systems and College used software. Must possess good written and verbal communication skills, can manage multi-task operations, and be self-motivated. Knowledge, Skills, and Abilities Ability to learn Foundation and Development office procedures, programs, scholarship administration and fundraising software, and associated standard office software, high level customer service standards and principles.Demonstrated ability to:
develop and maintain effective working relationships with board, donors, and prospective donors; effectively communicate verbally and in writing; provide effective and responsive service to customers and contacts; perform all assigned tasks efficiently and accurately and create and maintain accurate records; multi-tasking skills including ability to prioritize and manage multiple projects or change priorities quickly.
