Full Job Description Position Title:
School Secretary Summary:
As a member of the charter school office team, the school secretary will manage and assist with responsibilities needed to efficiently manage the school office. This position requires a high degree of responsibility, discretion, independent judgment and confidentiality.Qualifications:
High school diploma or its equivalent required. Post-secondary education is preferred. Secretarial training preferred. Minimum of one year of school office experience preferred. Demonstrate proficiency in the use of Microsoft Office and office related mathematical skills. Working knowledge of the Google database preferred. Strong analytical, reasoning and human relations skills. Demonstrate the ability to effectively communicate orally and in writing, using proper grammar and vocabulary. Possessing the skills to read, write and communicate in Spanish is preferred. Understand the requirement to maintain confidentiality concerning charter school related matters. Prior to employment, the following must be addressed: Required to complete a criminal history background check to prove that the individual has not been convicted of a crime or a disorderly person's offense in accordance withN.J.S.A 18A

Essential Performance Responsibilities As a core member of the office team, the individual in this role executes the mission of iLearn Schools Inc. by providing comprehensive clerical and administrative support while maintaining the highest ethical and professional standards. Key responsibilities include managing a highly efficient school office, organizing electronic and paper filing systems, and leading the new student registration process. The position serves as a primary point of contact for the school community, requiring professional communication, proper phone etiquette, and the accurate distribution of school notices. Financial duties include collecting and documenting fees for school lunches, clubs, and activities in compliance with auditing standards. Additionally, the role involves managing student attendance records—specifically monitoring for truancy—and assisting with book inventories, purchasing, and data collection for compliance reporting. Operationally, the individual supports campus safety protocols (including drills and emergencies), coordinates the school calendar and transportation logistics, and maintains strict confidentiality regarding student and staff records. Working cooperatively under school and state regulations, the individual will adapt to changing needs by participating in professional development and performing other duties as assigned to support administrative and school-sponsored events.Equipment:
Uses standard office equipment such as personal computers, printer, copy and fax machines, and telephone.Travel Requirements:
