The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As a Secretary Assistant, you will be the backbone of our administrative functions, ensuring smooth daily operations and providing exceptional support to our team and clients. Your energy and enthusiasm will help foster a productive and welcoming office environment. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software to maintain organized records Assist with bookkeeping using QuickBooks to process invoices, track expenses, and support financial record-keeping Maintain filing systems—both physical and electronic—to ensure easy retrieval of documents and confidentiality of sensitive information Support calendar management by scheduling appointments, meetings, and reminders for staff members or executives Provide customer support by answering inquiries promptly and professionally, ensuring positive interactions at all times Experience Proven office management experience with a strong background in clerical and administrative roles Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is highly desirable Bilingual ability is a plus—fluency in additional languages enhances communication within diverse teams and client bases Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent typing speed combined with keen proofreading skills to produce error-free documents Prior experience in personal assistant roles or customer service positions that required high levels of professionalism and time management Join us as a Secretary Assistant where your enthusiasm meets your expertise!
