DISTINGUISHING FEATURES OF THE CLASS
The Secretary II performs skilled secretarial and general clerical work, which requires typing, filing and related activities. This position is distinguished from Secretary I by the more varied work assignments and the greater independence with which assignments are performed.
ESSENTIAL FUNCTIONS
 Compose and type correspondence, documents, and reports of routine matters from clear copy or rough draft requiring knowledge of departmental operations and regulations using standardized formats.  Sort, index, and file materials numerically, alphabetically or by some other predetermined classification according to established procedures.  Retrieve/track files of information from manual and automated computer files.  Answer varied inquiries, over the phone or in person, explaining departmental policies and procedures and resolving routine questions or problems independently.  Act as a receptionist, greeting visitors, responding to phone inquiries and directing or routing to appropriate personnel.  Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.  Perform other related duties as assigned.
REQUIRED KNOWLEDGE, SKILL AND ABILITY
 Knowledge of office practices, procedures, and equipment operations.  Knowledge of proper business English, spelling, grammar, and basic arithmetic such as addition, subtraction, multiplication and division.  Skill and ability in using office equipment (i.e., computer, copy machine, fax machine).  Ability to follow written and verbal instructions.  Ability to comprehend and make inferences from material written in the English language.  Ability to learn job-related material primarily through oral instruction and observation. This learning takes place mainly in an on-the-job training setting.
