Job Description

Job Summary We are seeking a highly organized Secretary / Office Manager to join our small family team. In this role, you will serve as the backbone of our office operations, ensuring smooth daily functions, exceptional customer support, and efficient administrative processes. Your proactive approach and excellent communication skills will help foster a productive work environment while managing a variety of clerical and organizational tasks. This position requires someone who can function independently and manage their time effectively. Duties Live reception- Operate phone systems to handle incoming calls efficiently, providing prompt assistance or routing calls as needed. Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records. Perform data entry and bookkeeping tasks using QuickBooks and other computer software to support financial accuracy and reporting. Coordinate calendar management, scheduling appointments, meetings, and personal assistance tasks with precision. Oversee office supplies inventory, order necessary materials, and ensure the office environment remains tidy and functional. Provide exceptional customer service by addressing inquiries promptly, supporting clients or visitors with professionalism and courtesy. Develop estimates and invoices And send to customers in a timely manner Manage payroll Ability to work 7am-3pm Monday-Friday Requirements Proven experience in office management, clerical work, or administrative support within a professional setting. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Experience with QuickBooks for bookkeeping and basic accounting functions is preferred. Exceptional phone etiquette skills combined with experience managing multi-line phone systems. Demonstrated ability to handle data entry accurately while maintaining attention to detail through proofreading and typing skills. Strong time management skills to juggle multiple responsibilities efficiently while meeting deadlines. Personal assistant experience or familiarity with calendar management is desired.
