Job Description

Zoning board of Appeals Secretary/Part Time /
Union Pay:
$20.40 per hour
Hours:
Monday-Friday, between 9:00 AM and 5:00 PM, plus one Thursday evening meeting a month, up to 10 hours per week

$20.40 per hour

Eligible for NYSLRS and deferred compensation The ZBA Secretary provides administrative support to the Zoning Board of Appeals (ZBA) and serves as the primary point of contact for all ZBA-related applications and appeals. This onsite position involves interaction with applicants, attorneys, consultants, and the general public. Working closely with the ZBA Chairperson, the Secretary coordinates meeting agendas, distributes materials, prepares public notices, attends meetings, and records official minutes. The Secretary is also responsible for maintaining orderly digital and hard-copy records of all ZBA activities. The ZBA Secretary will attend the monthly meetings and take minutes and provide any necessary administrative support. These meetings take place the second Thursday of each month starting at 6:00 pm. Supervision Reports to the ZBA Chairperson and the Town Supervisor (or designee). Responsibilities
  • Attend all monthly ZBA meetings to take minutes and handle paperwork.
  • Record and prepare official minutes of meetings and public hearings. Draft minutes must be submitted to the Chairperson within one week of the meeting; final minutes must be filed within two weeks, per NYS Town Law.
  • Act as primary recipient of all ZBA applications and supporting materials.
  • Coordinate with the ZBA Chairperson, attorney, and consultants to ensure timely review of applications.
  • Ensure ZBA members receive application materials in their preferred format (digital, hard copy, or both).
  • Ensure ZBA page on Town website remains current.
  • Prepare and send notices of public hearings.
  • Maintain organized records, including meeting minutes, applications, correspondence, and official documents.
  • Provide general office support: answering phones, checking email, filing, and maintaining receipt books.
  • Track financial information, monitor accounts, coordinate with the bookkeeper, and ensure all fees are collected prior to final approvals.
  • Process filings and applications; assist applicants with procedural requirements.
  • Operate standard office equipment (computer, printer, copier, etc.) and relevant software.
  • Perform other administrative duties as assigned. Required Knowledge, Skills & Abilities
  • Strong organizational and communication skills.
  • Ability to work courteously and professionally with the public, Town officials, and consultants.
  • Competent skills with English grammar and spelling
  • Computer skills such as Google Workspace, Microsoft Word and Excel, writing form letters, and email are essential.
  • Ability to work independently
  • Ability to prepare accurate meeting minutes and maintain official records.
  • Ability to maintain confidentiality and meet deadlines. Minimum Qualifications High school diploma or equivalent At least three years of administrative, planning, or clerical support experience (municipal setting preferred) Equivalent training and experience may be considered Benefits
