Job Description
Action Wildlife Foundation is seeking an organized, motivated, and adaptable Secretary / Administrative Assistant to join our team. This position plays a key role in keeping daily operations running smoothly across our office, events, admissions systems, and guest communications. This is a fast-paced position ideal for someone who enjoys multitasking, problem-solving, and helping manage a dynamic agricultural, educational, and tourism-based business. Responsibilities Answer incoming calls and emails professionally and promptly Respond to general guest inquiries regarding admissions, encounters, events, field trips, and park operations Coordinate event and field-trip bookings Provide occasional on-site assistance during events or busy operational periods Travel to the post office and bank as needed Update the website and social media with closures, events, announcements, and operational updates Maintain organized digital and paper filing systems Ensure office records, spreadsheets, and administrative systems remain accurate and up to date Manage and update the Point of Sale system Track gift shop inventory and add new items to the POS system Monitor sales trends and identify high-traffic or high-performing merchandise items Assist with administrative office tasks and daily operations Manage the office calendar, appointments, meetings, and scheduling priorities Organize and prepare weekly office meetings, including agendas, materials, and follow-up notes Maintain consistency and accuracy across office systems and communications Identify opportunities to improve administrative workflow and efficiency Independently manage and complete new projects from start to finish (example: creating and implementing Amazon wish lists for animal care needs) Qualifications Highly organized with strong multitasking abilities Professional communication and customer service skills Proficient with Apple software and Mac operating systems Experience with Microsoft Excel preferred Experience with Square and/or WIX preferred Comfortable learning new systems and adapting to changing priorities Ability to work independently and follow projects through completion Strong attention to detail and accuracy Ability to lift up to 20 lbs Must be able to work on-site in the office Preferred Skills Experience in presenting or analyzing sales data and trends Social media and website management experience Administrative or office management background Experience in tourism, hospitality, agriculture, nonprofit, or event-based environments is a plus
Pay:
