GOAL:
The school secretary/clerk provides a variety of clerical and administrative support to school administrators and staff, and responds to routine inquiries.
MINIMUM QUALIFICATIONS
Three (3) years of experience in general office work High school diploma or State Approved High School Equivalency
PREFERRED EXPERIENCE
: Associate Degree or other formal, post-secondary education Previous experience in a public school setting Bookkeeping experience

ESSENTIAL FUNCTIONS

ONLY, and is not a comprehensive listing of all duties and responsibilities performed by incumbents of this class.) 1. Maintain strict confidentiality of all records/communications at all times 2. Meets and interacts with stakeholders in routine situations utilizing tact, discretion and courtesy 3. Types correspondence, letters, memos, purchase requisitions, check requests, forms, etc. 4. Submit purchase orders, distribute and process invoices for payment for all purchases from local school funds and grant funds 5. Handles bookkeeping and financial transactions with accuracy and fidelity 6. Makes and receives telephone calls, takes messages, routes calls 7. Maintains school records and files for building principal and related requirements 8. Picks up and distributes mail 9. Types, prepares, distributes, files, records/reports, correspondence, mailings, etc., related to building functions and principal needs 10. Takes/transcribes notes for correspondence 11. Coordinates all aspects of special events 12. Registers administrators and teachers for conferences and classes including travel arrangements 13. Runs school errands and makes purchases as directed by principal 14. Orders, processes and maintains office materials and equipment 15. Serves as confidential secretary for administrators and students 16. Screens telephone calls/visitors as directed by administration 17. Operates standard office equipment 18. Attends in-service training as scheduled 19. Enters leave into electronic time keeping system, reconciles and signs off on electronic time sheets 20. Compiles information from various sources on a variety of standardized forms 21. Uses Excel to create and maintain spreadsheets for various projects/assignments 22. Conforms to all District and school polices/procedures 23. Interprets rules, policies, regulations, instructions and laws and exercises independent judgment in the interrelation and application of standard practices and procedures 24. Submits weekly payroll information for maintenance staff 25. Approves field trips on behalf of administration 26. Maintains calendars 27. Maintains a cooperative working relationship with administration, parents, staff and public 28. Demonstrates ethical behavior and confidentiality of information about students in school environment and community 29. Maintains appropriate documentation and recordkeeping as required. 30. Observes assigned work hours. 31. Maintains a pattern of prompt and regular attendance 32. Follows the daily schedule as prescribed 33. Adjusts to work assignments and /or schedule changes 34. Supports and follows system initiatives and procedures 35. Maintains prompt and regular attendance 36. All other duties assigned by school administration
PHYSICAL DEMANDS
Routine physical activities are required to fulfill job responsibilities, such as the ability to exert up to 50 pounds of force occasionally, and/or up to 20 pounds frequently, and/or up to 10 pounds of force constantly to move objects. Frequent bending, lifting, pushing, pulling, stooping, kneeling, crouching, reaching, repetitive fine motor activities (significant fine finger dexterity), prolonged periods of standing, walking and sitting is expected. Vision, hearing and verbal communications are essential functions of this position. The employee must be able to satisfactorily perform each essential function of the position. When appropriate, reasonable accommodations will be provided to afford persons with disabilities an opportunity to perform the essential functions of the position. Employees are expected to attend all required meetings as approved by the supervisor. The employee will adhere to the Georgia Professional Standards Commission's Code of Ethics for Educators, all Meriwether County Board of Education policies, administrative regulations, school system procedures, and all other applicable professional performance criteria. Maintenance of criminal history check is required for all employees.
