Senior Accounts Payable Specialist Position Summary We are seeking an experienced and highly organized Senior Accounts Payable Specialist to oversee the full-cycle AP process for our growing multi-branch organization. This role is ideal for a detail-oriented professional who thrives in a collaborative, fast-paced environment and takes pride in maintaining accuracy, efficiency, and strong vendor relationships. In addition to managing day-to-day AP operations, this position will play an important role in supporting the company's long-term modernization initiatives, including AP automation and workflow improvements. Competitive compensation package Annual performance bonus opportunities Profit-sharing program Comprehensive medical, dental, and vision benefits 401(k) with company contribution Paid time off and holidays Stable, growth-oriented organization Positive, team-oriented company culture Supportive leadership and collaborative work environment Opportunity to contribute to process improvements and automation initiatives Long-term career growth potential Key Responsibilities Receive and process vendor invoices from email and weekly branch submissions Verify approvals, accurately code invoices, and enter data into the accounting system Identify accruals and assist with month-end close activities Reconcile vendor statements monthly Maintain AP accuracy while meeting processing deadlines Process approximately 400 checks weekly Prepare check batches for Treasurer review and signature Coordinate weekly payment cycles and resolve payment discrepancies promptly Ensure timely and accurate vendor payments Review weekly expense reports from service and sales teams across multiple branches Confirm approvals and supporting documentation Follow up on missing information or discrepancies Enter approved expense reports into the AP system (approximately 25-30% of workload) Manage vendor onboarding processes, including W-9s and tax exemption certificates Maintain accurate vendor records and documentation Respond professionally and promptly to vendor inquiries Ensure compliance with company policies and documentation requirements Resolve payment exceptions and maintain strong payment security controls Support fraud prevention and internal control procedures Maintain organized AP documentation and vendor files Support internal and external audits Assist with process improvements and AP workflow efficiencies Contribute to future AP automation initiatives Required Skills & Experience 5-7 years of full-cycle Accounts Payable experience Experience in a multi-branch or multi-entity environment preferred Ability to manage AP responsibilities independently with minimal supervision Strong understanding of invoice processing, GL coding, internal controls, and vendor management Advanced Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, filters, and data validation Experience with AP automation platforms such as Ramp, Bill.com, Airbase, Tipalti, Concur, or similar systems preferred Company Culture We take pride in fostering a professional yet welcoming workplace where teamwork, respect, and employee appreciation are part of our everyday culture.
