Service Order Coordinator
DEPARTMENT

JOB SUMMARY
Opens, creates, and/or processes work orders and service requests for customers (residents and employees). Assists in handling inventory operations from ordering, receiving and distributing as part of asset management.

Handles the day-to-day vendor interactions such as order processes and vendor check-ins.

REQUIRED EDUCATION, EXPERIENCE, SKILLS, LICENSURE
1. High School Diploma/GED preferred.2. Basic reading, writing, and math skills required.3. Experience in system management for work order processing is preferred.
JOB REQUIREMENTS
1. Support the mission and purpose of SVWC.2. Present a professional, caring image.3. Employment and annual Tuberculosis testing as required by Virginia State Licensure.4. Must attend annually mandatory inservices required by the State Licensure and all other mandatory inservices and/or meeting required by other regulatory agencies and/or by SVWC.5. Follows and supports the policies and procedures established by
SVWC. ESSENTIAL DUTIES/RESPONSIBILITIES
1. Assign work order requests submitted by residents and staff for completion through the WorxHub software. These requests will be submitted through WorxHub (pending requests), email (direct email and workrequest.org), phone calls, and through voicemails. 2. Communicate with appropriate parties regarding high priority or time sensitive work orders as they are assigned (examples: leaks, HVAC issues, appliance issues). 3. Communicate with appropriate parties regarding work order due dates and ensure that they are completed when requested (examples: set-ups, resident moves, new resident orientations). 4. Send resident billing information to the finance department for processing when applicable. 5. Assign/edit resident information within the WorxHub system. This includes new move-ins/resident transfers, resident phone numbers/email addresses, and "permission to enter" information. 6. Document new assets through WorxHub. These include resident appliances, commercial appliances, water heaters, new roofs, etc. Documentation for submission will be provided by the Maintenance team for entry. 7. Serve as the Subject Matter Expert for WorxHub, having meetings with the vendor to explore and maximize the system. 8. Serve as the Loading Dock Champion, making several rounds a day to ensure appropriate egress and cleanliness is maintained. Move packages to appropriate places and assist in the delivery of perishable items. 9. Be a point of person for all contractor traffic entering the community ensuring they sign in and have appropriate badging and access. 10. Support the manager in resident communications and protocols to include snow removal.11. In charge of auditing and updating MSDS Binders annually as needed. 12. Other duties as assigned
TOOLS AND EQUIPMENT
  • Must be able to use, operate and interpret information from equipment in work area. SPEECH
  • Must be able to verbally communicate in the English language directly and over the telephone and be understood.
RANGE OF MOTION
  • Must maintain work restrictions as determined by the treating physician.

  • Must have mental capacity to fulfill the requirements of the job including problem solving, logic, communication and numerical calculations.

  • Ability to analyze numbers and make basic mathematical calculations.
