Job Description
Job Summary We are seeking a proactive and detail-oriented Site Contract Administrator to oversee the management and administration of contracts at our project sites. This vital role ensures that all contractual agreements are executed efficiently, compliant with legal standards, and aligned with organizational objectives. The ideal candidate will facilitate seamless communication between vendors, contractors, and internal teams, while maintaining rigorous document control and compliance protocols. Join us to drive strategic contract processes that support our operational excellence and project success. Duties Contract Administration Interpret the contract for site teams and set up a structured contract filing system. Manage incoming and outgoing correspondence and attend site meetings to capture contractual and commercial issues. Maintain a daily photographic record and prepare concise weekly contract/commercial reports. Claims Management Maintain a centralized claim log and handle claim notifications, recording, and submissions for suppliers, the constructor, and the customer. Review the project schedule to identify critical path activities, coordinate with the scheduler to track impacts, and maintain a delay impact log. Equipment Tracking Monitor delivery dates for equipment and software, recording delays and their causes. Track Overage, Shortage, and Damage reports, oversee site storage conditions, and flag issues. Manage product change processes with attention to cost and contractual impacts. Personnel & Timesheets Track site TFA man-hours and maintain vendor timesheets. Review subcontractor timesheets for accuracy and issue approved records for invoicing. Cost & Commercial Control Manage project costs, reporting, and forecasting for main and subcontractors. Review and log Site Observation Notifications and associated remedial hours. Negotiate Extra Work Orders, maintain EWO logs for all parties, and assess RFIs for cost or claim exposure, including reviewing responses and adding appropriate waiver language.
