Renewal is on an annual basis, however, is not guaranteed. Under the direction of the Director, Outreach and Guided Entry Services, and in collaboration with the Dean of Enrollment Services and the Director of Strategic Communications and Marketing, the Outreach and Guided Entry Specialist supports public/private feeder middle and high schools, community-based organizations, and other prospective students with targeted outreach in an effort to increase the college's enrollment goals. The Specialist develops, coordinates, and facilitates in person and online orientation and onboarding experiences as part of the College's Matriculation Plan; oversees coordination of the campus tour program, including scheduling, content alignment, and collaboration with campus partners; and provides guided entry support that assists students from application through enrollment.
EXAMPLES OF DUTIES
Represents the District at feeder schools, community events, and college fairs; conducts presentations and workshops on college programs and enrollment steps; distributes materials; and maintains relationships with school personnel. Provides workshops for prospective students at feeder high schools and community organizations, coordinates campus visits, and offers hands-on enrollment support for all entry points. Provides frontline, inclusive support for admissions, basic financial aid questions, orientation access, and registration troubleshooting, on and off campus, for all students; triages and connects students to specialized services. Schedules and facilitates outreach and guided entry events, maintains calendars, arranges facilities and technology, and supports marketing and communications in alignment with the Director's outreach and guided entry strategies. Plans and facilitates online and in-person orientation and onboarding for all new students, including adult learners, previous college students, and students in special populations; collaborates with Counseling, FYE, and other support programs. Organizes and delivers activities that move students through application, financial aid, orientation and onboarding, first-term educational planning, and successful registration in LancerPoint, monitors milestone completion and intervenes as needed. Tracks student engagement and milestone completion and provides data for reports to identify gaps and recommend improvements to guided entry processes. Uses appropriate tools, including a Customer Relationship Management (CRM) system, to send timely reminders, respond to student inquiries, and maintain accurate records that reflect progression through the guided entry process. Collaborates with Admissions & Records, Financial Aid, Counseling, Success Coaches, and Instruction to align timelines, messages, and supports during peak cycles. Maintains culturally sensitive practices and intentionality, particularly when working with underrepresented populations. Performs related duties as assigned.
MINIMUM QUALIFICATIONS
Bachelor's degree in any field. Two
  • 2) years of related experience, preferably in an outreach capacity in an educational setting or related customer service field.
Possession of a valid California driver's license and the ability to maintain insurability under the District's vehicle insurance policy. Reliable transportation for local travel within the Pasadena Area Community College District.
PREFERRED QUALIFICATIONS
Experience in higher education specifically community colleges. Experience working with diverse groups of high school students. Experience recruiting adult learners and other post-traditional students.
KNOWLEDGE, SKILLS AND ABILITIES

KNOWLEDGE OF
General understanding of higher education processes, including matriculation, financial aid, and registration. Demonstrated experience working with communities who have been traditionally underserved by higher education and experience in the pedagogy reflecting intersections of race, ethnicity, culture, class, and queer communities.
SKILLS:
Above-average competence using programs, databases, and technical tools including the Microsoft 365 Suite, Google suite, Banner, EAB Starfish, and general student messaging platforms.
ABILITY TO
Ability to collaborate cross-functionally with personnel from multiple departments. Establish and maintain effective working relationships with students and instructors.

PHYSICAL ABILITIES
Seeing to inspect written documents, communicate with District staff, sitting for extended periods of time; bending, kneeling, climbing, and reaching to retrieve and file equipment, and dexterity of hands and fingers to operate and repair equipment as well as to type on a computer keyboard. Standing and walking between work areas is required. Positions in this classification may occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information and equipment. Employees must possess the ability to lift, carry, push, and pull materials and objects up to 25 pounds with the use of proper equipment.
WORK ENVIRONMENT
Employees work in an office environment with moderate noise levels, and controlled temperature conditions. Employees will also be required to drive district vehicles, work in outside weather conditions and are occasionally exposed to wet and/or humid conditions, vermin, insects, parasites, fumes, and toxic or caustic chemicals. Outdoor noise level is moderately noisy. Employees may interact with upset staff or public representatives in interpreting and enforcing departmental policies and procedures.
