Job Description
At SERVPRO Middletown/ New Britain, we help make fire and water damage "Like it never even happened." We are seeking a dependable, detail-oriented Job File Coordinator to support our team and help ensure every project is documented, managed, and completed efficiently. This role is essential to the success of our operations. The Job File Coordinator works closely with production, management, and accounting teams to maintain complete job files, prepare accurate estimates, ensure compliance with program requirements, and support timely billing. The right candidate is organized, proactive, and comfortable working in a fast-paced environment where accuracy and communication matter. Responsibilities Track and manage job file status on a daily basis Ensure all required job documentation, photos, and notes are complete and accurate Create and review estimates based on field documentation and project scope Maintain the Work-in-Progress board for active jobs and new leads Verify compliance with client, carrier, and program requirements Communicate effectively with team members, customers, and partners Review job documentation and timestamps for accuracy and reporting purposes Prepare completed job files for final upload and audit review Audit job files and estimates to ensure all completed work is properly documented and billed Coordinate job close-out with accounting to support prompt and accurate invoicing Assist with additional administrative tasks and departmental support as needed Qualifications Bachelor's degree preferred Administrative, estimating, or office coordination experience preferred Strong organizational and multitasking skills Excellent attention to detail and follow-through Professional communication and customer service skills Comfortable using digital systems for documentation, workflow, and reporting Restoration, construction, or insurance industry experience preferred but not required Benefits Competitive pay Paid time off Health benefits Career advancement opportunities Meaningful work supporting customers during challenging times
