Job Description:
GENERAL STATEMENT OF RESPONSIBILITIES
The Administrative Assistant II provides high-level administrative, clerical, and operational support to Cape Cod Community College's Testing & Career Services department. The Administrative Assistant II primary responsibility is to provide administrative support to the Director of Testing and Career Services, including preparing and maintaining files and reports for all functions of the Testing and Career Services department and to provide confidential administrative support for the Director. This role requires strong organizational ability, attention to detail, excellent customer service, and the capacity to manage multiple priorities in a fast-paced environment that supports both academic testing operations and student career readiness services. The Administrative Assistant II is a primary point of contact for students, faculty, staff, employers, and community partners, ensuring efficient daily operations of both functional areas and the department office.
EXAMPLES OF DUTIES
Provide comprehensive administrative support to the Director of Testing and Career Services, including scheduling meetings, managing calendars, preparing correspondence, and coordinating departmental communications. Provide administrative and clerical support for Testing & Career Services using Microsoft Office Suite (Word, Excel, Outlook, OneDrive, PowerPoint), Navigate, Handshake, Salesforce, and other campus systems. Serve as a front-line contact for students, faculty, employers, and the public; respond to inquiries via phone, email, and in person. Support daily testing operations including scheduling, room setup, signing-in testers, and adherence to testing security protocols. Assist with career services functions, including general scheduling, workshops, events, employer visits, and job board support. Coordinate department events such as Career Day, Career Fairs, employer tables, and testing-related events. Manage department calendars including Testing Center coverage, staff schedules, workshops, and employer visits. Track inventory and submit purchase orders for office supplies, testing materials, promotional items, and event supplies. Maintain accurate records and databases, including testing records, event attendance, employer lists, and student internship paperwork. Prepare departmental documents including meeting minutes, forms, reports, and communications. Assist with onboarding new staff and proctors. Provide support for employer relations and internship/student employment coordination. Assist with compliance-related tasks including maintaining secure files and following testing guidelines. Support marketing and outreach efforts, including flyers, announcements, and bulletin board updates. Maintain positive working relationships with internal and external partners. Provide supervision to lower-level administrative support staff. Work occasional evenings for testing coverage or career events
Requirements:
MINIMUM QUALIFICATIONS
1. Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.• An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.•Education toward such a degree will be prorated on the basis of the proportion of the requirements completed. 2. Three years' full-time administrative experience or equivalent combination of education and experience per state classification. 3. Excellent interpersonal and customer service skills. 4. Strong organizational, communication, and multitasking abilities. 5. Proficiency with Microsoft Office Suite and ability to learn additional campus systems. 6. Ability to maintain confidentiality and follow testing security protocols. 7. Unrestricted authorization to work in the United States.
ADDITIONAL PREFERRED QUALIFICATIONS
1. Bachelor's degree or higher in related field. 2. Experience working in Testing, Career Services, or Student Services. 3. Experience with Canva, Handshake, Navigate, or Moodle. 4. Ability to assist with job board management, employer relations, and web updates. 5. Commitment to community college mission. Additional Information:
COMPENSATION
Starting annual salary of $61,321.52 for 37.5 hours/week (Grade 17, Step ). Full-time AFSCME Unit Position. Candidates may qualify for placement above entry-level salary if currently employed in the State system. A copy of the full State Classification specification for Administrative Assistant II is available in the Office of Human Resources, or at Massachusetts Department of Higher Education. Includes participation in a comprehensive employee benefits program and membership in the Massachusetts State Employees' Retirement System.
