JOB SUMMARY
The HCBS ("Home & Community Based Services") program screens, qualifies and hires, as Family Partners' employees, licensed and certified Direct Care Workers ("DCW") who provide respite, attendant care and/or habilitation services to the developmentally disabled community (the "Members"). The Administrative Assistant will primarily assist with HCBS-related administrative tasks and responsibilities associated with the recruitment, evaluation, on-site visits, management, billing and payroll preparation of and for the DCWs. In addition, this position will also provide administrative and front desk receptionist support to the company as needed. This position will also support the Day Program by filling in as a Direct Service Provider as needed. All responsibilities will be performed with the utmost quality and with respect to member rights and choices.
ESSENTIAL FUNCTIONS 1.
Maintain compliance with the policies and procedures of Family Partners and the Division of Developmental Disabilities. 2. Ensure that appropriately trained DCWs meet the specific needs of each member. Offer choices, respect preferences, and communicate effectively with the members, their caregivers, and the Division of Developmental Disabilities. 3. Schedule and make in-person home field visits within Yuma County directly with the family and the DCW to ensure all respite, attendant care and habilitation services are being provided per the member's ISP and in accordance to all stated internal and external rules and regulations. 4. Attend ISP reviews; maintain current ISPs and current habilitation goals in the Members' electronic Vtrack folders 5. Maintain employee files and expirations for licensing, certifications and fingerprint clearance. 6. Assist the HCBS Director / Coordinator with Arizona State audits for HCBS and DCW 7. Operate the HCBS program in a financially responsible manner. Assist with marketing efforts to bring notice to the program. 8. Be responsible for working with the DCW's daily or as needed to ensure all visits are recorded properly in the EVV (electronic visit verification) system. 9. Assist with and be the backup to the HCBS Director / Coordinator for gathering, recording and maintaining accurate and timely billing and bi-weekly time sheets for payroll and billing purposes via the EVV (electronic visit verification) system. 10. Perform special projects as assigned by the HCBS Director / Coordinator 11. Assist the team with document filing and member file compliance. 12. Fulfill the front desk receptionist duties as needed - which includes answering and transferring calls, taking messages, greeting guests, posting and managing daily incoming and outgoing mail and other tasks as identified 13. Support the Day Program as needed by filling in as a Direct Support Provider to members on-site. This may include classroom support and assisting with member activities.
Requirements:
A minimum of high school diploma or GED Minimum of two years demonstrated experience in education, medical or healthcare support Experience working with the developmentally disabled population is preferred, but not required Must have demonstrated experience with Microsoft Word and Excel software - experience with Focus and/or VTrack would be considered a plus Possess a valid Arizona Driver's License, a clean driving record and a reliable means of transportation with current insurance and registration Bilingual in both English and Spanish Speaking required Must be 21 years of age or older Must have flexible work schedule to accommodate scheduling of home visits Must successfully qualify for and/or complete: o Arizona Level One Fingerprint Clearance o Article Nine Training o Certification in Adult/Child/Infant CPR, and First Aid Must have the ability to address more than one project at a time while prioritizing the demands and issues in a busy operating environment
