Overview Accent Health Care Services, a licensed home care agency in Troy NY, is looking for a full-time Staff Scheduling Coordinator to join our team in the Capital Region.

OFFICE and be able to get yourself to the office on time daily. The Home Healthcare Staff Scheduling Coordinator is responsible for developing and maintaining efficient staff schedules to ensure that clients receive consistent, timely, and high-quality care. This role involves coordinating caregiver assignments, managing schedule changes, communicating with staff and clients, and ensuring compliance with state and agency regulations. The Scheduling Coordinator serves as the primary liaison between caregivers, clients, and agency management regarding scheduling needs and requirements. This role is also responsible for managing client referrals from initial inquiry to the start of care.
Key Responsibilities:
Staff Scheduling & Coordination Create, manage, and update caregiver schedules using AlayaCare software to ensure all client visits are staffed appropriately. Match caregivers to clients based on skills, preferences, location, and availability. Respond promptly to call-outs, cancellations, and last-minute schedule changes, ensuring continuity of care. Daily communication with the On-Call Staffing Coordinator to ensure continuity of care. Communication & Support Serve as the primary contact for caregivers regarding scheduling, shift confirmations, and updates. Communicate effectively with clients and families regarding staffing changes. Document all changes in the AlayaCare system. Collaborate with clinical and administrative teams as well as external care managers to address client and staff needs. Participate in caregiver evaluations and disciplinary processes relating to client feedback, reliability, punctuality, and communication with the office. Compliance & Documentation Maintain accurate scheduling records in compliance with agency policies and NYS regulations. Ensure that caregiver assignments meet client service plans and required caregiver qualifications. Track and monitor employee availability, time off requests, and overtime. Referrals & Client Intake Receive care referrals via fax, email, and telephone from various referral sources, including insurance companies, care managers, government agencies, family members, and client self-referrals. Gather information to aid in decision-making regarding the viability of the referral as a case. Consult with the Director of Clinical Services or designee to determine case acceptance or rejection. Track referrals, sources, and fulfillment rates and report these monthly to agency management. Operational Support Assist with onboarding new caregivers by ensuring schedule integration. Maintain documentation using the AlayaCare software system. Verify and validate EVV data captured by AlayaCare in collaboration with the Payroll and Billing Coordinator to ensure timely processing and submission of payroll and billing data. Participate in staff meetings and provide input on scheduling challenges and improvements. Participate in implementation of programs for the retention of caregiver employees.
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree preferred. Prior experience in healthcare scheduling, staffing coordination, or administrative support (home healthcare or similar setting strongly preferred). Knowledge of NYS regulations governing Licensed Home Care Services Agencies (LHCSAs) a plus. Proficiency in scheduling software and Microsoft Office Suite. Excellent organizational, problem-solving, and time-management skills. Strong communication and interpersonal skills; ability to interact professionally with caregivers, clients, and families. Ability to work in a fast-paced environment with shifting priorities.
