This role combines office management with caregiver supervision, ensuring smooth daily operations, efficient scheduling, and high-quality care delivery. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a positive environment for staff and clients alike. This position offers an exciting opportunity to make a meaningful impact in a supportive, team-driven setting. Duties Manage daily office operations, including front desk duties, multi-line phone systems, filing, and clerical tasks to ensure a well-organized workspace Oversee caregiver scheduling, ensuring coverage aligns with client needs and staff availability using schedule management tools Supervise caregiver team members, providing guidance, training & development opportunities, and performance feedback to promote professional growth Coordinate vendor relationships for office supplies, medical equipment, and other necessary services through effective vendor management Handle human resources functions such as onboarding new staff, maintaining employee records, and supporting payroll processes using QuickBooks or similar software Assist in budgeting and bookkeeping activities to monitor expenses and ensure financial accuracy Support medical office management tasks as needed, including maintaining client records and ensuring compliance with healthcare regulations Facilitate communication between staff members, clients, and external partners to promote teamwork and high-quality service delivery Experience Proven supervising experience in an administrative or caregiving environment with strong team management skills Demonstrated office experience with clerical responsibilities such as filing, calendar management, and front desk operations Familiarity with QuickBooks or comparable bookkeeping/accounting software for payroll and financial tracking Experience in event planning or coordinating training & development sessions for staff Knowledge of human resources practices including onboarding, employee relations, and compliance standards in healthcare or office settings Strong organizational skills with the ability to manage multiple priorities efficiently Excellent communication skills with a professional phone etiquette for handling multi-line phone systems and client interactions Join us in creating an organized environment where compassionate caregiving meets efficient office management!
