Job Description
The Personal Injury Case Manager is responsible for managing each client's case from intake through resolution, with primary ownership of all medical treatment coordination, medical records and billing, and damages development. This position serves as the day-to-day point of contact for clients and medical providers and ensures every file is documented, current, and ready for demand or litigation. Medical Management (Core Responsibilities) Coordinate and schedule client medical treatment, including initial appointments, diagnostics (MRI, CT, X-ray), specialist referrals, and follow-up care. Refer clients to appropriate treating providers and manage relationships with physicians, chiropractors, pain management, orthopedists, neurologists, surgeons, and imaging facilities. Track each client's treatment status, gaps in care, and milestones; follow up to keep treatment progressing and documented. Request, collect, and organize all medical records and itemized billing from every provider. Verify completeness and accuracy of records and bills; identify missing pages, dates of service, or charges and follow up until complete. Manage medical liens, letters of protection (LOPs), and provider balances; track lien amounts and prepare files for lien reduction and negotiation. Monitor and document client recovery, work status, and any new or worsening symptoms. Case Management Open and set up new files following intake; confirm client information, incident details, insurance, and treatment history. Maintain the file in the case management system, keeping deadlines, contacts, notes, and documents current.
Serve as primary client contact:
return calls and messages promptly, answer status questions, and keep clients informed throughout treatment. Coordinate with insurance adjusters on claim status, property damage, and medical payment coverage as directed. Calendar and monitor key dates, including statute of limitations, treatment review dates, and follow-up deadlines. Damages and Demand Preparation Build and maintain the special damages summary (medical bills, lost wages, out-of-pocket costs).
Collect supporting documentation:
wage loss verification, property damage estimates, photographs, police reports, and incident records. Prepare and assemble demand packages for attorney review, including chronology, treatment summary, billing summary, and supporting exhibits. Track policy limits, coverage information, and prior settlement communications. Litigation Support (As Needed) Assist with discovery responses, document production, and medical record indexing once a matter is in suit. Coordinate with experts and treating providers regarding deposition and trial scheduling. Support attorneys with deadline tracking and file preparation through resolution. Administrative Maintain accurate, contemporaneous notes on all client and provider communications. Keep digital files organized and properly named per firm protocol. Prepare status reports for attorney review on assigned caseload. Qualifications Prior personal injury case management experience required; medical records or billing experience strongly preferred. Working knowledge of medical terminology, treatment timelines, and provider workflows. Familiarity with liens, LOPs, and medical billing practices. Strong organization, follow-through, and written and verbal communication skills. Proficiency with case management software and document management. Bilingual (Spanish/English) a plus.
