Job Description

Personal Injury Case Manager / Legal Assistant - Minimum $18/hour Position overview We are a busy personal injury law firm in Miami seeking a detail‑oriented Case Manager / Legal Assistant to support our attorneys with day‑to‑day case handling from intake through resolution. This is an in‑office position with a minimum starting pay of $18/hour, with potential for higher pay based on experience. Key responsibilities Provide administrative support to the case management team and attorneys in personal injury matters. Organize and maintain client files (physical and electronic), including medical records, police reports, correspondence, and pleadings. Utilize document management systems and case management software to store, track, and retrieve information efficiently. Assist with contract and intake document preparation, including fee agreements, authorizations, and standard client forms. Perform accurate data entry of case details, notes, and deadlines into firm systems. Answer phone calls, route messages, and handle client, provider, and insurance inquiries with professionalism and excellent phone etiquette. Communicate with clients to provide updates, gather information, and help ensure a positive client experience. Proofread, format, and, when needed, transcribe letters, emails, and legal documents with strong attention to detail. Assist in requesting and following up on medical records, bills, and other supporting documentation. File and organize paperwork in a systematic manner, consistent with firm procedures and confidentiality requirements. Assist with basic preparation of demands and settlement packages under attorney supervision (if experienced). Support other clerical and case‑related duties as assigned to keep cases moving and deadlines met. Requirements Proven experience in an administrative, clerical, or legal support role; prior personal injury or law firm experience strongly preferred. Strong organizational skills with the ability to manage multiple files and prioritize tasks in a fast‑paced environment. Familiarity with document management or case management systems preferred (e.g., legal practice or CRM software). Excellent attention to detail for proofreading, data entry, and follow‑up tasks. Proficiency with computers, including Microsoft Office (Word, Outlook, Excel) or similar tools. Strong written and verbal communication skills and a professional, client‑service‑oriented demeanor. Ability to maintain strict confidentiality of sensitive client and firm information. Reliable, punctual, and able to work independently while being a collaborative member of the team. Bilingual (English/Spanish) preferred but not required, given the South Florida client base. Compensation and schedule Minimum starting pay: $18/hour; higher rate may be offered based on relevant experience and skill set. Full‑time position (approximately 40 hours per week), in‑office in Miami. Benefits and additional incentives may be discussed during the interview process, depending on experience.
