Job Duties:
The CWS Case Worker Assistant independently perform a variety of advanced administrative duties requiring sound judgment and discretion in the operation of OHAN duties, Central Registry upkeep, and appeals. Analyze and interpret current and emerging state and federal mandates to perform varying tasks that have significant impact on the operations of the office and the performance of the OHAN unit and the Child Welfare Services Safety Division. Use knowledge of operations, programs and general best practice office procedures to maximize work performance and output for OHAN. Act as liaison to the Office of General Counsel for processing of information and communications for Fair Hearing Appeals for indicated OHAN cases. Provide general casework assistance to OHAN staff. Maintain, update, and verify the OHAN rotation log each day, ensuring all entries are accurate, complete, and time-stamped. Assign OHAN intakes to OHAN Case Managers and monitor Case Managers' caseload assignments. Maintain, update, and verify the 10-day consult spreadsheets. Respond to requests for appeals from the Office of Administrative Hearings with required documents. Coordinate with OAH, the Office of General Counsel and the OHAN Manager and the Director's Designee to initiate Interim Reviews, track the appeal process, and provide case information within established time frames to appropriate parties. Ensure indicated files are complete. Enter court orders and other court documents in CAPSS. Generate and disseminate notification Parental letter and preliminary within three business days of determination to parties for indicated and unfounded decisions and assists investigators with notifications in statutorily mandated time frames. Track receipt of certified responses. Confirm placement of indicated persons in the Central Registry of Abuse and Neglect and removes those names when appropriate. Assist the OHAN Manager with requests from the Office of General Counsel, including Freedom of Information Act requests and cases litigated through the Insurance Reserve Fund (IRF), for OHAN case files and other information requests. Create a referral response for every OHAN screened-in and screened-out intake for group homes, foster homes, residential facilities, and daycares. Support the OHAN Case Worker Assistants by providing coverage during periods of leave, ensuring continuity of operations, maintaining workflow efficiency, and upholding service standards in their absence. Maintain an active routine of self-care and pursue support when necessary to minimize the threat of secondary trauma to physical and mental health. Understand the impact of trauma on families and secondary trauma on child welfare staff, and apply these principles to support families and staff. Other assigned duties A High School Diploma and three (3) years of experience in clerical, administrative, social work, correctional, business administration, or general business. An Associate Degree and one (1) year of experience in clerical, administrative, social work, correctional, business administration, or general business. A Bachelor's Degree may be substituted for part or all of work experience. Experience in a relevant program area.
