In this pivotal role, you will oversee the management of personal injury pre-litigation cases from initial client intake through resolution, ensuring seamless case progression, aggressive case velocity, and effective communication with clients, attorneys, insurance adjusters, and medical providers. Your expertise will drive efficient case workflows, support litigation strategies, and uphold the highest standards of client advocacy. This position offers an exciting opportunity to join a rapidly scaling plaintiff-side personal injury firm in Austin, Texas dedicated to aggressive representation and client results. Duties Independently manage a caseload of 100 active personal injury files, guiding cases through pre-litigation processes including client intake, treatment tracking, medical records collection, evidence gathering, and settlement negotiations. Prepare comprehensive demand packages within 10 days of treatment completion, including medical summaries, damages worksheets, liability narratives, and settlement authority ranges. Negotiate directly with insurance adjusters on pre-suit cases within authority granted by firm attorneys, driving cases toward policy-limits or near-limits settlements. Review and analyze medical records, police reports, insurance policies, and case evidence to ensure accuracy, completeness, and support for damages claims. Maintain meticulous case management files using modern legal practice management software; ensure all documentation is current, organized, and compliant with firm standards. Communicate proactively with clients every two weeks during active treatment to provide updates, manage expectations, and maintain strong client relationships. Draft demand letters. Track and report weekly on case status, settlement pipeline, demand activity, and case velocity metrics. Supervise paralegal support staff on records requests, medical summaries, demand package assembly, and case file maintenance. Identify cases ready for suit filing and coordinate smooth transition from pre-litigation to litigation phase with firm attorneys. Skills Experience in personal injury law case management. Minimum 3 years of plaintiff-side PI case management experience , with demonstrated track record managing 100+ active files independently. Deep familiarity with the full pre-litigation and litigation lifecycle in Texas personal injury practice. Proven experience preparing demand packages that produce policy-limits or near-policy-limits settlement offers. Strong comfort negotiating directly with insurance adjusters and defense counsel. Working knowledge of Texas Rules of Civil Procedure, Texas Rules of Evidence, and standard Texas discovery practice. Experience handling motor vehicle accidents, commercial trucking cases, premises liability, and dog bite cases. Commercial MVA or trucking experience a significant plus. Proficiency in modern legal case management software such as CASEpeer, EVE, Litify, SmartAdvocate, Clio, or similar platforms. Excellent organizational skills with the ability to manage 100+ cases efficiently while meeting deadlines without dropping files. Exceptional written and verbal communication skills for drafting demands, corresponding with adjusters and clients, and preparing case summaries with clarity and professionalism. Proven experience interviewing clients effectively and maintaining strong client relationships throughout the case lifecycle. Ability to review complex medical records, insurance policies, and evidence accurately; skilled in identifying damages and liability issues. Self-starter mentality — thrives on velocity, ownership, and driving cases forward without waiting for direction. Bilingual (English/Spanish) a significant plus given our client base. Austin-based or willing to relocate to the Austin area. Demonstrated ability to handle confidential information discreetly while maintaining compliance with legal and ethical standards.
