POSITION SUMMARY
The Community Events Coordinator plays a vital role in creating welcoming, engaging, and memorable dining experiences that bring people together throughout the community. Reporting to the Director of Community Engagement, this energetic and detail-oriented professional coordinates every aspect of community dining events—from promotion and reservations to volunteer engagement, event execution, and follow-up reporting. The Community Events Coordinator builds meaningful connections with participants, volunteers, caterers, and community partners while ensuring each event runs smoothly and successfully. This position is ideal for someone who thrives in a people-centered environment, enjoys managing multiple moving pieces, and is passionate about fostering community engagement through exceptional events and service.
KEY ROLES AND RESPONSIBILITIES
Provide the marketing team with timely, accurate information required for promotional materials, web updates, and event e-blasts. Coordinate the timely delivery of promotional materials to designated venue contacts. Manage reservations, wait lists and seating capacity at each venue Ensure all participants are entered into the internal database Accurately enroll new participants and post event attendance into agency database Coordinate supply inventory and delivery of supplies needed to support each event Coordinate volunteer and/or staff coverage for greeting, set-up, check-in, service and clean up Coordinate menu and meal counts with caterer Serve as the on-site contact to ensure smooth event execution Engage with participants and volunteers, collecting stories and photos to promote a meaningful experience Ensure donation handling follows internal policies and procedures Assists with weekly and monthly reports and invoices Perform other duties as assigned

EDUCATION, TRAINING AND EXPERIENCE
- High school graduate or equivalent preferred
- Experience in event planning or program coordination a plus
- Strong organizational and time management skills
- Ability to work independently and manage multiple steps
- Friendly, professional demeanor with strong interpersonal skills
- Proficiency in Microsoft Office and database entry
- Ability to lift up to 30lbs, climb stairs and setup for events
- Automobile insurance with Bodily Injury liability coverage of at least $100K/$300K
- Reliable transportation to various locations and a valid and current driver's license
- Must be at least 21 years old
