Monday-Friday, 8-hour shift; no routine weekends

We are seeking a highly organized, warm, and relationship-oriented Community Relations & Employee Experience Coordinator to support our next stage of growth. This role is ideal for someone who enjoys building relationships, coordinating outreach, supporting team engagement, assisting with onboarding logistics, and helping a healthcare practice maintain a positive, organized, patient-centered environment. Role Summary The Community Relations & Employee Experience Coordinator supports two major areas of the practice: External community growth: referral relationships, community outreach, relationship tracking, follow-up coordination, and partner communication.
Internal employee experience:
onboarding logistics, team culture initiatives, internal communication support, staff engagement coordination, and meeting/event logistics. The right candidate is professional, polished, detail-oriented, comfortable with confidential information, and able to manage multiple moving pieces without losing follow-through. Key ResponsibilitiesCommunity Relations & Referral Outreach Coordinate outreach to community partners, referral sources, and aligned healthcare organizations. Maintain a live community and referral relationship tracker, including organization name, contact person, last touchpoint, follow-up date, and relationship notes. Support scheduling of community meetings, referral lunches, practice introductions, and provider/community touchpoints. Prepare outreach materials, follow-up emails, and relationship updates for leadership review. Track referral relationship activity and summarize trends for leadership. Support community-facing projects related to patient access, referral flow, and practice growth. Coordinate relationship follow-up with primary care clinics, therapy practices, hospital psychiatry departments, community organizations, IOPs, detox programs, rehabilitation programs, universities, and other aligned referral sources. Employee Experience & Team Culture Coordinate team-building events, appreciation initiatives, internal celebrations, and staff engagement activities. Support quarterly culture initiatives, including planning, logistics, communication, budget tracking, and feedback collection. Assist leadership with internal communication that reinforces role clarity, accountability, and team connection. Help identify workflow friction points and communicate them to the appropriate leader. Support a positive, professional, and patient-centered team environment. Onboarding & HR Coordination Support Assist with onboarding logistics for new hires, including checklists, welcome materials, document collection, first-week schedules, and training coordination. Maintain organized onboarding trackers and follow up on missing items. Support scheduling of performance reviews, training meetings, staff check-ins, and leadership meetings. Assist with formatting role clarity documents, SOPs, and internal process updates. Handle confidential employee and practice information with discretion. This role does not independently make hiring, termination, compensation, discipline, leave, accommodation, or legal HR decisions. Internal Communication & Operations Coordination Coordinate meetings, prepare agendas, track action items, and follow up on deadlines. Support cross-functional administrative projects as assigned by leadership. Assist with vendor, community partner, pharma representative, and external partner coordination. Provide occasional front office or administrative support when business needs require it. Help maintain organized systems for communication, project tracking, outreach tracking, and follow-through. Required Qualifications At least 1 year of experience in administrative coordination, community outreach, referral coordination, HR support, onboarding coordination, healthcare administration, or patient/customer service. Strong written and verbal communication skills. Excellent organization, follow-through, and attention to detail. Comfort working in a healthcare or mental health practice environment. Ability to handle confidential information professionally. Ability to work full-time, Monday through Friday, with regular in-person availability in Irvine and/or Anaheim Proficiency with common office software, calendars, spreadsheets, shared documents, and task tracking systems. Preferred Qualifications Experience in a medical, mental health, therapy, psychiatry, wellness, or professional services setting. Experience with community outreach, referral relationships, employee engagement, onboarding, or HR coordination. Experience maintaining trackers, SOPs, project plans, or relationship databases. Familiarity with HIPAA-sensitive environments. Bilingual ability is a plus but not required. Ideal Candidate You are proactive, polished, organized, and people-oriented. You enjoy connecting with others, coordinating details, creating structure, and helping a team feel supported. You can move between community outreach, internal team coordination, onboarding logistics, and administrative follow-through while maintaining professionalism and confidentiality.
Pay:
$25.00 - $30.00 per hour
