DESCRIPTION
Job Summary:
This hybrid role provides a welcoming parish presence at the front desk and delivers reliable administrative support while designing and implementing a right‑sized discipleship pathway for youth (grades 6-12) and their families. The Coordinator plans, implements, and evaluates evangelization and catechesis opportunities (especially post‑Confirmation) that foster an active faith life. The role collaborates closely with the pastor, parish administrator, and staff to integrate hospitality, administration, and ministry for the good of the parish.
General Responsibilities:
Employment in and by the Church is substantially different from secular employment. Key Responsibilities:
Welcome & Parish Correspondence (Front Desk) - 20-25 hrs/week Open doors, greet visitors, answer phones, and manage voicemail/email during Parish Office Hours (M-F 9:30 a.m.-3:30 p.m.). Provide accurate, friendly information (Mass times, sacraments, parish events). Maintain bulletin boards and displays (ensure materials are timely and tidy). Triage inquiries to appropriate staff and follow through to resolution. Parish Records & Compliance Coordinate records management in our parish database (ParishSOFT). Maintain sacramental records and faith formation registration. Facilitate Mass intentions, requests, and the Memorial Mass Association. Serve as
Safe Environment Coordinator:
track volunteer compliance (Essential 3) and maintain documentation in accordance with Archdiocesan requirements. Office Administration & Volunteer Scheduling Procure office, ministerial, and liturgical supplies (hosts, wine, candles) within approved budgets. Provide secretarial support to the pastor and parish administrator; assist staff/committees. Schedule and coordinate ministry volunteers using MSP Scheduler Pro in collaboration with ministry leads.
Bookkeeping:
Receipt funds received in the office and prepare the weekly deposit. Enter bills in ParishSOFT accounting and prepare/mailer for accounts payable checks according to internal controls. Youth & Family Discipleship (Grades 6-12) — ~15 hrs/week Design and lead post-Confirmation discipleship opportunities for high school youth (small groups, mentoring, service/mission, prayer & sacramental life). Provide periodic middle school events to build belonging and faith habits (monthly or seasonal). Organize summer opportunities (camps, service days, diocesan events/retreats). Be a visible presence frequently on Faith Formation nights, weekend Mass (rotating), and key parish events to cultivate relationships. Recruit, ensure (E3), train, and support a small team of ministry volunteers. Communicate effectively via bulletin, website, parish email, and parent updates. Collaborate with staff on calendar, facilities, and an annual ministry budget; steward parish resources with fiscal responsibility. Continuing Formation & Team Culture Participate in bi-monthly staff meetings, Archdiocesan meetings, and relevant workshops/classes related to position. Seek opportunities for personal, spiritual and professional growth. Other Responsibilities Includes other duties as assigned. QUALIFICATIONS
Preferred Qualifications:
Bachelor's degree in theology, ministry, education, Catholic Studies, or related field. 1-3+ years in parish administration and/or youth ministry/faith formation. Familiarity with Archdiocesan policies and sacramental recordkeeping. Experience recruiting and supporting volunteers; basic budgeting and event coordination. Teamwork in visioning and creating a commitment to a shared plan through implementation. Evangelism relevant experience - I.E. National Evangelization Teams (NET) staff, Fellowship of Catholic University Student (FOCCUS) staff, etc. Ability to converse in Spanish preferred.
