PRIMARY PURPOSE:
Coordinate, document, and monitor services for students in the Pregnancy, Education, and Parenting (PEP) program
and receiving Pregnancy-Related Services (PRS) across all GCCISD secondary campuses, in accordance with TEA
requirements and the Student Attendance Accounting Handbook (SAAH). Serve as the campus Application Intake
Officer for Peter E. Hyland Empower Academy, managing application intake, data verification, and committee-ready
packet preparation. Provide centralized clerical and case-coordination support to the Principal, campus PRS
coordinator district program directors, counselors, and attendance clerks. The position requires strict confidentiality
and Title IX-aware practice.
QUALIFICATIONS
Education Certification
- High School diploma or GED required; associate degree or higher in a related field (education, social services,
public administration) preferred.
Special Knowledge Skills
- Working knowledge TEA attendance accounting, Pregnancy-Related Services (PRS), and Pregnancy,
Education, and Parenting (PEP) program requirements, including PEIMS coding for pregnant and parenting
students and verification Student Detail Reports each six-week reporting period.
- Knowledge Title IX protections for pregnant and parenting students and applicable OCR guidance.
- Familiarity with Texas Workforce Commission (TWC) Child Care Services, the Texas Child Care Connection
(TXC) portal, the Teen Parent Scholarship, and KinderConnect attendance reporting.
- Strong organizational, interpersonal, and case-management skills with audit-ready recordkeeping; ability to
construct effective written communications.
- Bilingual (SpanishEnglish) strongly preferred.
Minimum Experience
- Two to three years clerical, case-management, or student-services experience in an educational setting
preferred; experience supporting at-risk, pregnant, or parenting students preferred.
MAJOR RESPONSIBILITIES AND DUTIES
A. PEP PRS Program Coordination
- Serve as campus point contact along with the campus PRS coordinator for PEPPRS coding in coordination
with the district PEIMS office and TEA; interview each pregnant student or expectant father referred by
counselors, nurses, administrators, or self-referral across all GCCISD secondary campuses.
- Document the date initial pregnancy-related contact and verify PRS eligibility through campus-official
affirmation or licensed medical practitioner documentation; maintain the district-wide PRSPEP student list and
notify the At-Risk Coordinator and counselor new students.
- Educate students at intake on PRS components, including Compensatory Education Home Instruction (CEHI)
and on-campus support options; monitor prenatalpostpartum eligibility timelines and coordinate timely coding
changes.
B. CEHI Coordination and Documentation
- Maintain CEHI logs, verify every three weeks, and obtain administrator signature per SAAH standards.
C. PEIMS
Coding, Records, and Audit Readiness
- Enter and verify PEIMS data for all pregnant and parenting students, confirming accurate PRSPEP coding on
the Student Detail Report each six-week reporting period.
- Maintain audit-ready records and produce documentation for TEA, FIRST, and internal audits; support required
PEPPRS reporting and the district's PRS program description in District and Campus Improvement Plans.
D. Application Intake Officer — Peter E. Hyland Empower Academy
- Scope is intake and packet preparation only; acceptancedenialwaitlist notifications, family deadline tracking, and orientation
scheduling remain with the campus secretary or other designee, protecting PEPPRS compliance capacity during peak
enrollment.
- Receive applications; complete the Application Intake Form (demographics, currenthistorical grades, transcripts,
attendance, discipline) and request counselor credit evaluations.
- Compile complete, committee-ready intake packets.
- Maintain the application tracking log and continue the accepted applicants workflow; escalate to the Principal
when enrollment volume threatens PEPPRS deadlines.

E. TWC Child Care Services and Workforce Liaison
- Assist eligible teen parents with GCCISD childcare (Little Giants Academy) and the TWC Child Care Services
Teen Parent Scholarship via the TXC portal and KinderConnect; determine CCS eligibility and assist with
documentation.
- Track
- month recertification dates, maintain child attendance records (including the absence threshold), report
family changes to TWC within the required window, send school verification letters, and verify contact hours with
campus attendance clerks.
F. Student Support and Case Coordination
- Connect students and families to WIC, SNAP, Medicaid, CHIP, and DePelchin Children's Center; arrange
transportation for students and their children as part PRS optional support services.
- Monitor student schedules and course codes for ADA eligibility thresholds; conduct wellness checks with the
PRS case manager and refer students for parenting and job-readiness instruction.
G. Title IX, Confidentiality, and Compliance
- Apply Title IX protections for pregnant and parenting students (excused absences, make-up work, return to prior
academicextracurricular status) and maintain strict confidentiality per FERPA and Board policies DH (Local) and
DH (Exhibit).
- Refer pregnancy-related disabilities to Section .
H. General
- Perform all other duties as assigned by the supervisor.
