Position Summary The Clergy Executive Assistant supports the work of TIOH's rabbis and cantor, and ensures a smooth day-to-day work experience for the entire Jewish Life department. Think of yourself as the congregation's concierge, providing the highest level of customer service to both temple members and colleagues in marking the meaningful moments in their lives. This position requires independent judgment and discretion on sensitive matters, exceptional organizational and administrative skills, and the ability to help prioritize the Sr. Rabbi's time and communications so that he can build meaningful relationships with synagogue members and meet the needs of our diverse community. You will also help our clergy team organize deeply engaging ritual services and programs. With a congregant service mindset, you must be a welcoming, supportive, and knowledgeable presence for congregants and visitors alike - providing information, problem-solving support, and assistance promptly and discreetly. Key Responsibilities Executive Support for Senior Rabbi Maintain and coordinate calendar and workflow, including all pertinent details for meetings (e.g., information about family, purpose, location, preparation materials, reminders to all parties) Prepare congratulatory, condolence, and other correspondence to members and donors Partner with the Executive Director, Development Department, and Leadership staff to identify key individuals with whom to cultivate targeted relationships Help create social media posts and other public communications Anticipate ever-changing needs and ensure long-term follow-through on a variety of projects. Manage Systems for Pastoral Care & Congregant Life Cycle Support clergy in preparation to lead life cycle events (b'nai mitzvah, weddings, funerals, etc.) Oversee the tracking system and notes for pastoral care Maintain membership records related to births, deaths, and monthly yahrzeit anniversary reminders Administrative & Logistical Support for Clergy Programs & Services Ensure all clergy led programs and events are accurately entered in the temple's planning calendar Coordinate logistics for clergy-led programs, including registration, communications, check-in, set-ups, supplies, catering, arrangements with outside vendors, and A/V needs Serve as the primary point of contact, and prepare materials for clergy during weekly Shabbat services, holiday celebrations, and High Holy Day events Be present for designated programs to greet participants and ensure smooth operations Manage the Administrative & Operational Flow Create and maintain a warm, welcoming, and professional atmosphere in the clergy offices Answer the main temple phone line; triage calls for clergy Process check requests, reimbursements, and track receipts on corporate credit cards Manage Jewish Life office supplies and equipment Additional tasks as directed by TIOH clergy Position Qualifications Exemplary customer service and interpersonal skills; able to interact with members of all backgrounds with warmth and professionalism Executive function skills to manage multiple priorities simultaneously and meet deadlines Excellent written and verbal communication skills Discretion and good judgment when handling confidential or sensitive member information Proficiency in Microsoft Office Suite, Google Workspace, various social media platforms, and database/CRM systems; willingness to learn new software; proficiency with AI tools preferred Self-starter with a proactive, solutions-oriented mindset Collaborative team player who also works well independently 3 - 5 years of experience in an executive assistant, administrative, or office management role. Knowledge about Reform Judaism is helpful; experience working in a synagogue, Jewish organization, or faith community strongly preferred Bachelor's degree preferred; equivalent combination of education and job experience will be considered Background in donor relations, community engagement, or event coordination is a plus Position Requirement Ability to work a flexible schedule, including evenings and weekends, particularly during High Holy Days (Rosh Hashanah, Yom Kippur) and major Jewish holidays Ability to work on site at 7300 Hollywood Blvd. Los Angeles, 90046 and to assist with logistics at offsite events as needed Ability to sit at a desk and work on a computer for extended periods Ability to lift and carry materials up to 25 pounds for event setup and breakdown Must be able to move between multiple locations within the temple campus Benefits Competitive salary of $80,000 - 85,000 commensurate with experience Health, dental, and vision insurance Paid vacation, sick leave, and holidays 403(b) retirement plan A mission-driven, inclusive, and supportive work environment Application Process • Please send a cover letter and resume of relevant experience to .
