Part-time Description and Purpose of Position:
The Church Administrator has overall responsibility for the daily operations of the church and is the primary support for the Pastor, Team Leaders, Deacons and Session.
Qualifications:
The position requires basic office skills, the ability to handle multiple tasks and responsibilities at once and is expected to coordinate with others as needed. A high level of computer skills and knowledge of various programs including, but not limited to, Word, Excel, Outlook, Google Docs, Quick Books, Mail Chimp, Word Press and Church Windows is required.
Accountability:
The Church Administrator is accountable to the Pastor and Session. They are directly supervised by Administration and the Pastor. An annual personnel review will be conducted by the Pastor and designated Session members.
Duties and Responsibilities:
1.
Pastor's Administrative Assistant:
a. Prepare/respond to correspondence, written and digital, as directed by the Pastor and/or Session b. Communicate with the Board of Pensions and update Board of Pensions data c. In association with the Pastor, Director of Music and Worship and Music Session member, prepare the Sunday Worship Service bulletin and oversees the proofing, printing, and distribution each week d. In conjunction with the Pastor, create and distribute the Mid-week Update using Mail Chimp e. Create, update and assure the service attendance list is taken each week f. Record worship service attendance in Google Docs and Church Windows g.
Maintain leadership lists:
Lay leaders, Worship assistants, Elders and Deacons h. With input from the Pastor and/or Deacons, update and distribute weekly Pastoral Care list i. Maintain membership list in Church Windows, print directory for distribution j. As requested by Pastor, prepare copies or reports for Ministry Teams, Session or Deacons k. Create, maintain and update church processes documentation 2.
Office Administration:
a. Maintain Church Windows database b. Maintain accurate and organized computer files for all meeting minutes, financial and other records c. Manage the process for scheduling, coordinating and invoicing outside groups utilizing Providence facilities d. Oversee maintenance of office equipment and assist Pastor and volunteers in resolving issues with office equipment. Recommend upgrades, repairs and/or replacements, with proposed expenses, to Administration Team Ministry. e. Maintain office supplies and reorder as necessary 3.
Communications:
a. Answer telephone, ensure responses to voice mail and email messages b. Maintain the church calendar c. Attendance in church once a quarter is necessary to maintain face-to-face communication with church leaders and members 4.
Digital Communications:
a. Create, maintain and update Website, utilizing the Word Press App b. Maintain and update Facebook page c. Send physical copy of bulletin to home bound members without email d. Maintain Zoom schedule for Sunday Worship Services, Ministry Team meetings and other church related activities as needed or requested e. Distribute Sunday Worship Service Bulletin electronically in the midweek update and all worship service participants f. In conjunction with the Director of Music and Worship and Music Session member, provide slides for Sunday hymns for use in the Sunday Worship service or as digital format for online services 5.
Financial:
a. Receive invoices and enter same into Quick Books, assigning line item account numbers b. Prepare checks for printing and notify signers c. Handle other payment options for vendor payment d. Mail or distribute checks e. Make weekly deposit of donations, offerings, etc and Sunday offering. These are checks that come in by mail, in person, and Sunday service f. Upload copies of weekly deposits, invoices and check copies from the scan folder to the One Drive for the bookkeeper g. Upload copies of monthly bank statements to One Drive for bookkeeper 6.
Other:
a. Maintain Key log. Keys to be distributed by Admin Team. Retrieve keys upon officer termination of office b. Maintain the thermostat for weekly events in sanctuary c. Maintain the passwords in the office procedures book
