The Opportunity The Executive Assistant to the Lead Pastor is a high-trust, high-impact role that plays a critical part in advancing Embassy City's mission to be a place where anyone can grow in Christ with others. This role protects the Lead Pastor's time, sharpens his focus, and ensures the right priorities move forward with clarity, urgency, and excellence. This role requires discernment, initiative, and the ability to anticipate needs in a fast-moving, vision-driven environment. The Executive Assistant will manage competing priorities, streamline communication, and remove operational friction so the Lead Pastor can remain focused on prayer, teaching, leadership, and organizational direction. The ideal candidate thrives in a high-responsibility role, exercises sound judgment, and operates with both precision and confidence. This position is designed for an experienced Executive Assistant who is passionate about administrative leadership and executive support. It is not intended as a transitional or developmental pathway into pastoral or other ministry leadership roles. Key Responsibilities Manage and optimize the Lead Pastor's complex and evolving calendar, ensuring alignment with strategic priorities Oversee and filter incoming communication (email, calls, in-person requests), responding or escalating with discernment and urgency Serve as a gatekeeper and liaison, ensuring the Lead Pastor's time and attention are directed toward the highest-impact opportunities Serve as a trusted liaison to the Lead Pastor's family, providing administrative and logistical support while coordinating communication with professionalism, discretion, and clear boundaries Prepare, draft, and manage high-level correspondence on behalf of the Lead Pastor with professionalism and clarity Plan, coordinate, and execute meetings with intention—ensuring agendas, materials, and follow-ups drive outcomes Anticipate needs, identify potential conflicts or bottlenecks, and proactively provide solutions Develop, organize, and maintain a comprehensive sermon archive system for the Lead Pastor, ensuring messages and supporting materials are accessible, searchable, and well-preserved Coordinate guest speaker logistics, including communication, travel, and accommodations Maintain organized digital and physical systems that support efficiency and accessibility Handle sensitive and confidential information with the highest level of discretion Provide additional support as needed to ensure continuity, alignment, and execution of priorities This description is not all inclusive, and other duties may be assigned as necessary. Required:
5+ years of experience supporting a senior executive or C-suite leader in a high-capacity, fast-paced environment Demonstrated ability to operate with high levels of discretion, professionalism, and sound judgment in environments requiring confidentiality and trust Proven experience managing complex calendars, competing priorities, and high-volume communication with accuracy and efficiency Strong organizational and time management skills with the ability to anticipate needs and follow through without oversight Excellent written and verbal communication skills with the ability to represent senior leadership clearly and professionally High level of executive presence and interpersonal maturity, with the ability to engage confidently with internal and external stakeholders Ability to operate with urgency, adaptability, and composure in a dynamic environment Proficiency with Mac-based systems and comfort navigating a variety of digital tools and platforms Alignment with Embassy City Church's leadership, values, and biblical foundation Demonstrated spiritual maturity and commitment to continued growth and development
Preferred:
Experience supporting a Lead Pastor, senior church leader, or executive within a ministry or nonprofit setting Familiarity with church management systems, CRM platforms, or database tools Experience coordinating logistics for events, guest speakers, or ministry environments Strong problem-solving skills with a proactive, solutions-oriented mindset Spiritual and Cultural Expectations Must agree with, support, and live in alignment with Embassy City Church's Statement of Faith. Must be or become a member of Embassy City Church within a month of employment. Attend at least one service weekly. Demonstrate a growing relationship with Christ. Model Embassy City's core values in both attitude and execution. Physical Requirements This position requires sitting, walking, bending, stooping, twisting and lifting 20 pounds or more as needed to fulfill job duties and requirements.
