The Office Assistant is a part-time, paraprofessional staff member of the Department of Housing and Residential Experience at Florida International University. The Office Assistant works closely with and is directly responsible to their immediate supervisor, a member of the Residential Experience central staff (Assistant Director or Director). The Office Assistant is expected to perform a variety of duties that contribute to the overall operation of the Residential Experience Office. The Office Assistant is expected to: ¿ Be a receptionist for the Residential Experience, serving as an information resource to callers, taking messages, and forwarding calls appropriately. ¿ Assist the Residential Experience Office/Central staff with administrative duties such as supply orders, maintaining calendars for staff, scheduling meetings, administrative projects/tasks such as data entry, record keeping, inventories, and running errands, etc. ¿ Provide administrative assistance to the Director & Assistant Director (s) of Residential Experience however needed. ¿ Be a representative of the Department and University to students, staff, and guests. ¿ Organize and keep an inventory of supplies. ¿ Triages and responds to Residential Experience accounts ¿ Maintain office equipment and submit repair requests as necessary. ¿ Assist with record keeping by maintaining regular and electronic files related to personnel and/or student information. ¿ Enforce Housing & University policies, rules and regulations and provide documentation of policy violations to a supervisor. ¿ Perform other duties as assigned and deemed necessary by the Residential Experience central staff. ¿ FIU undergraduate or graduate student (degree seeking) and enrolled in full-time credits ¿ Maintain a semester and cumulative GPA of 2.5 and working towards satisfactory academic progress ¿ Able to work during business hours of Monday through Friday 8:30am to 5:00pm ¿ Must meet all eligibility requirements for employment, as stipulated by Florida International University ¿ Must abide by all Housing & University rules and regulations ¿ Experience as an administrative assistant, or office admin assistant ¿ Proficiency in MS Office ¿ Attention to detail and problem solving skills ¿ Excellent written and verbal communication skills Student Assistant Applicants must be currently enrolled as a student at FIU with a minimum of six (6) credits as an Undergraduate student or three (3) credits as a Graduate student during the Fall and Spring semesters. During the Summer semesters, Students need only remain enrolled and are not required to take credit hours, but cannot have graduated. Upon decreasing credit hours or graduating, student employment must end. Hours vary based on the Office Assistant¿s availability but are not to exceed twenty (20) hours per week. The Office Assistant will receive a biweekly paycheck for their hours worked during the applicable pay period. $16.50/hour Criminal ground Check This student appointment may be subjected to a pre-employment background check.
