Summary of Position:
The Admissions Assistant is responsible for working with the Director of Social Services to manage the resident flow, admissions process, and marketing process of Hale Ho Aloha. Responsibilities include presenting information regarding our services to potential residents and families that will result in the admission of appropriate residents. This includes giving tours, handling all admission inquiries, and maintaining a professional relationship with other facilities, hospitals, and other referral sources.
Essential Duties:
Collaborate with the Director of Social Services and Nursing Department to review and assess admission inquiries, responding to referral sources in a timely manner. Coordinate facility tours, applications, and the admissions process for prospective residents, families, and referral partners, ensuring a positive experience. Initiate and manage the admissions process by explaining services, completing required documentation, and ensuring all consent and admission forms are accurate, signed, and properly distributed. Coordinates pre-admission physical and psychosocial assessments with appropriate departments. Communicate admission criteria and resident needs clearly to referral sources, prospective residents, families, and internal teams to ensure appropriate placement and continuity of care. Conduct timely follow-up on all pending inquiries and maintain accurate records of resident flow, including admissions, denials, pending and lost inquiries, and discharges. Develop and maintain professional relationships with physicians, case managers, social workers, discharge planners, and other healthcare partners to support referrals, admissions, and census growth. Maintain and update marketing, promotional, presentation, and admissions materials. Uphold the values of Hale Ho Aloha, ensuring the organization's mission and vision are consistently reflected in all aspects of the admissions process. Collaborate with the Director of Social Services to promote resident satisfaction and ensure that residents and their families receive the highest quality of care in a compassionate, respectful environment that honors each resident's needs and rights.
Requirements:
Bachelor's degree from an accredited school or three (3) years of experience in the healthcare setting preferred. Minimum of three (3) years clinical experience in a healthcare setting preferred. Experience completing patient admissions or marketing preferred. Knowledge and experience using computer applications (Microsoft Word, Powerpoint, Excel, Sharepoint, etc). Strong verbal and written communication skills with knowledge of medical terminology and familiarity with gerontological concepts and techniques. Requires some knowledge of group dynamics and to establish and maintain cooperative working relationship with others, using tact and diplomacy.
