POSITION SUMMARY
This position serves as the Coordinator of Grants and Compliance and plays a central role in supporting comprehensive grants administration across multiple funding streams, grantees, and applicants within the Office of the Local Children's Board (LCB). This position provides oversight and coordination throughout the full grant life cycle, ensuring compliance, accountability, and effective stewardship of public funds.

Key responsibilities include managing pre-award, award, and post-award processes; conducting performance monitoring and financial oversight; providing technical assistance to applicants and funded partners; and overseeing year-end reconciliation and close-out activities. The Coordinator ensures adnce to applicable regulations, promotes best practices in grants management, and supports continuous improvement in grant administration systems and processes.

This position will also support the Manager of Behavioral Health in identifying strategic priorities and funding opportunities, ensuring alignment with community needs and goals.

DESCRIPTION
Performs intermediate professional level human services work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work includes administering human service programs or providing specialized health and human services targeted to a special population; assists in formulating policies and developing goals and objectives; and providing a full range of counseling and referral services. Work may also include identifying and investigating complaints of unfair and deceptive practices and violations of local and State laws; and administering criminal justice and alternative sentencing programs.
ESSENTIAL DUTIES AND
RESPONSIBILITIESInclude the following. Other related duties may be assigned.

Manage a portfolio of grants overseeing all activities of the annual grant cycle:
Pre-Award:
  • Prepare and distribute Request for Applications, application forms and guidelines, provide technical assistance and guidance to applicants, conduct due diligence review and analyses of grant applications, provide support for the grant review process
Award Set-up:
  • Prepare and generate award letters, receive and track documentation from grantees, develop grant agreements and oversee the routing process, prepare grant files
Post Award:
  • Prepare grant report documents and guidelines, support monitoring through due diligence report tracking/review and site visits, accurately and timely disburse funds, track award balances and spending, process modification requests and prepare grant amendments, manage grant files and ensure proper documentation of grant activities
Ongoing Monitoring:
  • Coordinate and participate in implementation of monitoring plan including monthly site visits
  • Serve as day-to-day liaison between Office of the Local Children's Board (LCB) and community partners and stakeholders
  • Provide grant reports, grant analysis, and grant-related information upon request
  • Maintain the integrity of the online grants management system by ensuring data is complete, updated and accurate. Communicate with software vendor to troubleshoot issues
  • Conduct relevant research when necessary
  • Participate in the work of the Hub Steering Committee to ensure committee is aware of overall monitoring of grantee services and fiscal management
  • Partners with the Coordinator of Behavioral Health Partnerships to ensure programs are meeting identified needs.
  • Coordinates with the Data Analyst regarding grantee outcome data and reporting.
  • Supports community events and programs of the Office of the Local Children's Board and the broader Department of Community Resources and Services which may involve evening and weekend hours as needed
  • Participate in activities related to Emergency Management as requested, including work outside normal business hours.
SUPERVISORY RESPONSIBILITIES
This position may have supervisory responsibilities.
MINIMUM REQUIRED EDUCATION/EXPERIENCE
Bachelor's degree and one (1) year of experience or the equivalent combination of education and experience.
PREFERRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES
  • Master's degree in public health, social work or a closely related field
  • Familiarity with Results Based Accountability
  • Familiarity with and commitment to addressing racial inequity.
  • Experience monitoring human service programs preferred.
  • Strong fiscal management experience
  • Strong interpersonal skills, excellent oral and written communication skills and the ability to work well with an ethnically diverse population.
  • Strong computer proficiency especially with Microsoft Office (Word, Excel, PowerPoint), database management and spreadsheet applications necessary.
  • Proficiency in virtual platforms and use of technology for human services delivery.

The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus. The noise level in the work environment is usually moderate.
LANGUAGE SKILLS, MATHEMATICAL SKILLS AND REASONING ABILITY
Ability to read, analyze, and interpret periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of concrete variables in situations w only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
