Job Description

JOB SUMMARY
The Memorial Healthcare Volunteer and Events Coordinator will be responsible for coordinating the special events and community activities of Memorial Healthcare Foundation as well as coordinating Volunteer Services for Memorial Healthcare. The coordinator will be instrumental in providing oversight and support to the Foundation Board members and event volunteers who will plan and conduct special events of the Foundation. Activities will include administrative support of the activities of the Community Action Committee, assistance with the Foundation's volunteer and donor recognition events. The volunteer services related activities will include selecting, training, and coordinating volunteers, as well as continuous improvement toward creating a patient and family-centered volunteer program. The Volunteer and Event Coordinator will also serve as the Gift Shop Coordinator for the Auxiliary. The coordinator will schedule volunteers for the gift shop as well as manage stock and display. Strives for superior performance by consistently providing a product or service to leadership and staff that is recognized as ultimately contributing to the patient and family experience. Recognizes and demonstrates understanding of patient and family-centered care.
JOB RESPONSIBILITES
Coordinates volunteer related activities throughout the hospital including program improvements with a focus on patient and family centered services, selection and training of volunteers, interacts with hospital leaders to identify needs and opportunities. Volunteer communication Annual volunteer report Coordinates the gift bags for Cancer Survivor Day Serves as an Auxiliary Board member. Responsible for the birthday card program for employees and volunteers. Coordination of the Foundation's major annual fundraising events - Gala, Golf Benefit, and Clay's to Raise Event Working with the Community Action Committee and event chairpersons, the coordinator will be responsible for setting timelines and budgets and for arranging volunteer assignments. Assist event chairpersons and committees with preparation for each event, including facility arrangements, vendor contracts, sponsorship commitments and participant registration. Assist event chairpersons with event management, including volunteer assignments and instruction, outline of event activities and remarks and troubleshooting. Recognition of event volunteers and participants. Provide administrative support to the
Community Action Committee:
Assist with the Foundation's donor and volunteer recognition events. Assist with the Foundations Graphic Design in conjunction with the marketing department. Coordinate all aspects of the Auxiliary Gift Shop including staffing with volunteers, stock and Display. Demonstrates job related aspects of patient safety to assure a safe environment, safe and effective use of equipment and technology and decreased risk of potential adverse patient occurrences. Demonstrates knowledge of, and supports, hospital mission, vision, value statements, standards, policies, procedures, operating instructions, confidentiality statements, corporate compliance plan, customer service standards, and the code of ethical behavior. Performs other duties as assigned.
JOB SPECIFICATIONS EDUCATION
Some Higher Education Preferred and experience can be substituted for higher learning. Proficient in Windows Office to include Word, Excel and PowerPoint.
EXPERIENCE
Two (2) - three (3) years of supervisory experience. One or more years of experience in special event coordination or volunteer management. Effective verbal and non-verbal communication skills are vital. Promotional and general communications experience a plus.
ESSENTIAL PHYSICAL ABILITIES/MOTOR SKILLS
These physical requirements are not exhaustive and additional job-related physical requirements may be added on an as needed basis. Corrective devices may be used to meet physical requirements.
Sedentary Work:
Frequently required to stand, kneel and crouch. On a daily basis may be required to move about, sit, climb stairs and bend. Is frequently required to lift and carry up to 20 lbs. May be required to push/pull/carry items between 20-100 lbs.
Vision:
Requires the ability to perceive the nature of objects by the eye.
Near acuity:
Clarity of vision at 20 inches or less.
Midrange Acuity:
Clarity of vision at distances of more than 20 inches and less than 20 feet.
Motor Coordination:
While performing the duties of the job, it is required to regularly perform functions that include using hand and finger movement, handle or feel objects, be able to use tools or equipment that requires reaching with hands and arms. Must be able to travel independently throughout the hospital; access patients/families including areas confined by space and/or equipment.
Speaking/Hearing:
Ability to give and receive information through speaking and listening.
ESSENTIAL TECHNICAL ABILITIES
Proficiency using modern office, computer and telephone equipmentas used by Memorial Healthcare.
ESSENTIAL MENTAL ABILITIES
Ability to adapt and maintain focus in fast paced, quickly changing or stressful situations. Ability to read and interpret a variety of documents including, but not limited to policies, operating instructions, white papers, regulations, rules and laws.
ESSENTIAL SENSORY REQUIREMENTS
Able to see for the purpose of reading information received in formats including but not limited to paper, computer, reports, bulletins, updates, manuals. Able to hear for work-related purposes.
INTERPERSONAL SKILLS
Ability to interact with co-workers, hospital staff, administration, patients, physicians, the public and all internal and external customers in a professional and effective, courteous and tactful manner, at all times, physically, verbally and in all written and electronic communication. Required to remain calm when adversity is encountered. Open, honest, and tactful communication skills. Ability to work as a team member in all activities. Positive, cooperative and motivated attitude.
