Job Description
FUNCTION OF THE JOB
The Housing Coordinator is a full-time, 12-month position, reporting to the Director of Residence Life. The Housing Coordinator manages all housing assignment functions using a housing technology system (StarRez). This position coordinates closely with the Director of Residence Life to manage all housing processes while serving on the department leadership team that includes the: Assistant Director of Residence Life, Office Manager/ID Coordinator, and Residence Life Coordinators. The Housing Coordinator communicates and collaborates with Truman's admissions office, business office, and information technology services (ITS) and serves as the main point of contact with the StarRez vendor. The Housing Coordinator co-supervises a student employee and provides work-direction to other student employees in the residence life central office to provide strong customer service to students and parents regarding the on-campus housing assignment processes. The Housing Coordinator is responsible for the oversight of all housing contract renewals for returning residents and housing contracts and assignments for new first-year, transfer, and international students. Additionally, summer student housing and room change coordination fall under this person's responsibilities. The Housing Coordinator processes all housing and meal plan financial charges and produces and maintains various reports tracking housing occupancy to inform department decision-making. The Housing Coordinator is a vital member of the Residence Life central leadership team and impacts the daily operation of the department through participation in strategic planning, process development, and process implementation with a department wide impact.DUTIES AND RESPONSIBILITIES
Housing Technology- Responsible for managing departmental functions of StarRez systems (referred to as housing management system) and the housing assignment process for all new students required to live on campus.
- Responsible for the housing renewal process for returning students.
- Processes all housing assignment changes in housing management system.
- Coordinates all housing placement functions: placement into housing, removal from housing, changes to housing assignments, billing, etc. (including summer housing).
- Works with ITS and external vendor for housing management system updates; attends housing system related training sessions, and oversees the set-up and testing of updated or new housing management processes.
- Uses Microsoft Office and Google Sheet tools to create spreadsheets to track data and document information.
- Assists in reviewing and updating processes and forms.
- Prepares the housing management system for the housing renewal process and new student application processes. Ensures application and room selection processes are correct prior to application and room selection periods.
- Processes all commuter student applications in alignment with Truman's residency requirement for on-campus living through the housing management system.
- Coordinates move in timeslot registration, room inventory and inspections, and other processes developed and maintained in the housing management system. Management
- Provides leadership and oversight to professional and paraprofessional residence life staff including Residence Life Coordinators, Hall Directors, Community Coordinators, and central office student staff.
- Coordinates with the Office of Student Access and Disability Services to manage appropriate housing accommodations for students as needed (i.e. emotional support animal (ESA), single A.D.A. rooms, and other requests). Creates reports in the housing management system to track accommodations. Supervision
- Provides supervision to a student worker to assist with the administrative functions of the housing assignment operation.
- Provides work direction to all student employees in the central office, particularly in regard to questions about housing agreements, room selection, billing, and general questions about housing processes. Financial
- Coordinates the administration of all billing and fee assessment within the residence life operation with the Business Office.
- Collaborates with various campus offices and the vendor to troubleshoot and develop solutions to problems that arise with the billing process, pro-rating, or refunds, etc. Reporting/Analysis
- Creates and manages reporting features in the housing management system, and others externally, to record historical occupancy and other housing data on a regular basis.
- Maintains housing related reports. Customer Service/Interpersonal skills
- Assists students and families with questions about housing applications, roommate selections, room assignments and room changes.
- Coordinates correspondence for housing-related mailings and notifications and collaborates with the Office of Admission to reach incoming and perspective students.
- Handles confidential information on a daily basis. Other Responsibilities
- Assist with administrative process to support departmental operations as needed.
- Other duties as assigned.
ESSENTIAL FUNCTIONS
Must be able to:- learn and use a complex housing management software system.
- design and maintain reporting tools using housing management software system, Google Sheets, Microsoft Office and other relevant software programs necessary to manage the housing operation.
- communicate via telephone, email, and in person on a daily basis.
- handle multiple and complex tasks simultaneously.
- perform basic mathematical functions related to billing, both manually and electronically.
- work with various university software systems as needed to comply with University processes and procedures.
- provide direction to student staff employees.
- maintain professionalism and calm when assisting prospective students and their parents, as well as current students, internal colleagues, and campus partners.
MINIMUM REQUIRED QUALIFICATIONS
- Bachelor's Degree OR Associates Degree plus 1 year experience in a related position.
- Demonstrated experience with computer systems and electronic spreadsheet programs.
- Demonstrated experience organizing multiple administrative responsibilities and managing one's time to achieve results.
- Demonstrated ability to engage in effective problem solving, both independently and as part of a team.
- Demonstrated experience communicating effectively with students, their stakeholders, and colleagues.
- Demonstrated commitment to serving students.
PREFERRED QUALIFICATIONS
- Professional experience in an administrative role.
- Two years or more of data management system experience.
- Residence Life or university housing experience.
